Job Description

The Senior Assistant Manager will assist to execute a wide range of research administrative functions to support the smooth conduct of research in NCID that are aligned with NCID's operational and research objectives as well as in accordance with applicable policies and guidelines. These include, but not limited to, project implementation and management, assist with day-to-day research operations matters, managing of operational and research budgets, events organization and facilitating research collaborations.
MAIN DUTIES AND RESPONSIBILITIES
SPECIFIC * Manage NCID's project and programmatic grants (e.g. Centre Grant). This include ensuring smooth execution of programmes/projects under the respective grants and monitoring deliverables/timelines, facilitate seed grants management, procurement/purchasing, processing of claims/reimbursements, tracking of utilisation, facilitate variations, closures and reporting.

  • Manage pre and post award activities of research projects assigned. This include working with PIs to ensure smooth execution of projects from award till end of projects ensuring deliverables/timelines are met, facilitate review of research agreements, grants management, procurement/purchasing, process of claims/reimbursements, closure of projects and reporting outcomes.
  • Assist HOD to manage department research and operating budgets. Working closely with research office, grant agencies, institution finance and other stakeholders on finance related matters including assisting with audits, ensuring that all department's finance processes are adhere to the institution finance policies.
  • Establish, implement, fine tune and improve research administrative support processes and workflows with the objective of supporting NCID research initiatives.
  • Facilitate cross-institutional and/or multi-disciplinary collaborations with other healthcare and academic institutions and partners, based locally or abroad.
  • Plan, coordinate and organise research meetings, presentations, visits and seminars.
GENERAL * Participate in projects at departmental/institution/cluster level.
  • Participate in other duties as directed by supervisors, including work areas not mentioned here.
EDUCATION
Minimum Bachelor Degree; preferably in Biomedical Sciences or related fields.
EXPERIENCE
  • Minimum at least 2 years experience in research administration.
  • Research grants administration/management.
  • Project management from start to completion of projects.
  • Experience in managing department budgets/finances will have an added advantage
  • Good written and oral communication skills and ability to multi-task.
  • Meticulous, detail-oriented, responsible and able to manage ambiguities.
  • Excellent organization and problem-solving skills with the ability to respond effectively in a fast paced environment.
  • Good interpersonal skills, pleasant personality with good working attitude
  • Familiarity with Singapore's biomedical research landscape.
  • Good working knowledge of MS office applications
