Job Summary

The Supply Chain Administration Supervisor leads the strategic oversight and execution of critical supply chain administrative operations, encompassing inventory planning, procurement, warehousing, logistics coordination, and engagement with suppliers. This role works closely with warehouse team to optimize operational workflows, drive cost efficiencies, and ensure seamless, timely sourcing and distribution of goods and services.





Key Responsibilities

Inventory Planning



Oversee weekly assessments of Minimum Inventory Levels (MIL) to ensure optimal stock availability and minimize operational disruptions. Analyze comprehensive inventory data trends to develop strategic stock replenishment plans aligned with business demand and cost-efficiency objectives. Preparation of stock-up proposals, securing necessary approvals and initiating Purchase Requisitions (PRs) to maintain seamless supply chain operations.

Procurement Operations



Issuance of Requests for Quotation (RFQs) to vetted suppliers, ensuring competitive pricing and alignment with organizational needs. Conduct thorough evaluations of supplier quotations, balancing cost, quantity, and lead time to optimize procurement decisions. Secure requisite approvals and raising Purchase Requisitions (PRs) timely to maintain procurement efficiency. Proactively monitor and expedite supplier deliveries to uphold critical operational deadlines and minimize supply chain disruptions. Perform Goods Receipt processes, ensuring meticulous accuracy in documentation and compliance with company standards. Maintain and optimize item master data within SAP, ensuring data integrity and supporting accurate procurement and inventory management.

Warehousing & Logistics



Work closely and support a team of senior staff and associates within the Supply Chain Management Department (Woodlands Store), fostering high performance and operational excellence. Coordinate delivery and shipment schedules in collaboration with freight forwarders and suppliers to ensure timely and cost-effective logistics execution. Work with warehouse team regarding incoming deliveries, ensuring preparedness and smooth receipt of goods. Collaborate closely with the Finance department to facilitate accurate and timely processing of supplier payments. Support Finance by managing the retrieval and verification of supplier invoices, ensuring compliance with contractual and organizational standards.

Supplier & Order Management



Manage end-to-end supplier order tracking, ensuring adherence to delivery schedules and fulfillment commitments. Proactively identify and resolve issues related to shortages, delays, or damaged goods, minimizing impact on operations. Maintain transparent communication with internal stakeholders regarding supply chain disruptions, collaborating closely with suppliers to develop timely and effective corrective actions.

Reporting & Documentation



Preparation weekly delivery status reports, providing actionable insights to senior leadership for informed decision-making. Oversee the generation of bi-weekly Open Purchase Order (OPO) reports, highlighting outstanding issues, delivery balances, and unacknowledged POs to drive proactive resolution. Ensure meticulous maintenance of procurement records, including Purchase Requisitions (PRs), MRI Material Requisition Inventory Form and related documentation, supporting audit readiness and operational transparency.

Ad-Hoc Duties



Support any additional tasks or projects assigned by management.




Qualifications & Requirements

Minimum of 3 years of progressive experience in supply chain management, procurement, or related functions, demonstrating strong operational and strategic capabilities. Proficiency in SAP and Microsoft Office applications. Strong analytical, organizational, and communication skills. Ability to work independently and manage multiple priorities. Experience in supplier negotiation and logistics coordination is an advantage.
