Roles & Responsibilities Logistics and Supply Chain Executive – Outbound This role is to serve as primary coordinator for outgoing shipments to customers’ vessel location/port/country. Liaise with freight forwarders (3PL) to handle deliveries, fulfilment of schedules, transportation/fumigation/regulations. Liaise with internal stakeholders to ensure proper documentation process and stock inventory is closely monitored. Assist in preparing CIPL, delivery orders, invoices to ensure prompt responses and optimal delivery schedules. a. Liaise with international freight forwarders, customs agents, customer representatives to ensure timely delivery of equipment to meet vessel project schedules b. Prepare Proforma Invoice/Quotation/Commercial Invoice/Packing List for outgoing shipments using Xero system or Excel/Word - GST included or ship stamp provided c. Prepare adhoc customs documentations required as per overseas regulations, with assistance from operations team for technical documents d. Follow up closely with customers once equipment delivered to ensure documents are duly signed and acknowledge for GST audit e. Prepare day to day CIPL for direct equipment sales (navigation, IoT, IT) f. Work with operations team to draw out items from inventory, and assist with packing of small goods g. Work closely with incoming shipments PIC to maintain up to date inventory in Xero h. Assist in regular physical stocktake to meet audit requirements i. Work with incoming shipments PIC to assign outgoing stock from inventory j. Handle DHL/Fedex export account for small airfreight items k. Involved in project forecasts to ensure optimal delivery lead time and best cost effectiveness l. Coordinate with operations and incoming shipments PIC for local collection to ensure optimal use of delivery resources (company van, lorry, Grabdelivery, lalamove, etc)
m. Local delivery to PSA/anchorage, checking of PortNET with engineers’ support
