Trade Support Executive [$5000/central/5days]

Job Description


Responsibilities:

  • Co-ordinates all aspects of the pre and post-deal trading activity to ensure spot deals &/or contract execution runs smoothly.
  • Oversee day-to-day regional bunkering operations and providing support to the trading team
  • Provide commercial/market information to the trader as necessary.
  • Follow strictly internal procedures and company\'s policies.
  • Providing support to Sales & Trading team (across Singapore, London and Houston)
  • Support Traders to communicate with customers, internal offices and suppliers for all pre/post fixture operational matters
  • Ensure that deals are accurately captured, timely entry and management of trade details
  • Pre-fixture forecasting of contracts & Post fixture monitoring of vessel
  • Ensure all required reporting of delivered bunkers operations updated onto the system, example:
  • E-filing all orders details for regular reporting
  • Update and maintain overview order summary file in CRM tools such as Salesforce or CRM portal
  • Oversee contract scheduling and post fixture coordination
  • Check suitability of clients vessels for bunker operations, process clearances (sanctions and operations) required for each of the planned delivery
  • Action sales and build into the schedule of operations
  • Regularly update other team members of the planned schedule
  • Managing diversions from schedules
  • Update internal systems with latest information (vessel ETA updates, Product Specs, Quantity and other operational details)
  • Assist with customer complaints/disputes cases
  • Reporting to management
  • Maintain spreadsheets with operational/sales data summary for easy reference for bunkering team
  • Production of weekly/monthly management reports (Overdue, Sales Volume, Claims/Disputes, Write offs etc)
  • Other ad hoc tasks as assigned
Requirements:
  • Minimum Diploma in Business Administration, Maritime Studies, Supply Chain or any related fields
  • Or minimum 3 years\' experience in similar role within a professional services company
  • Experience in order processing and preparation of quotations
  • Understanding quality and quantity claims as per QMBS (SS524) standards
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Prior experience in Salesforce or other CRM modules will be an added advantage (training will be provided)
