Job Description


This role is responsible for the general administration of all APAC learning and development and coordination of virtual and in-person lawyer training programmes. The individual will play an important role in helping to manage CPD queries, processes, protocols and compliance of the various CPD/CLE jurisdictions.
In addition, this role will provide support and admin services to the Partners and Fee Earners on client-related matters across all practice groups in Singapore.

Role and responsibilities

Training administrative matters

  • Prepare and maintain the training budget for all relevant regional practice groups including forecasting and projection, planning global and local offsite training programmes, cost analysis, programme eligibility and headcount, estimates for Singapore CPD, New York CLE and Hong Kong CPD / RME. Liaise with office training stakeholders as required
  • Approve expense claims, travel requests in compliance with office travel & expense policy
  • Manage outgoing recharges; review incoming recharges
  • Manage the annual training plan and nomination process, prepare the FY training plan, confirm the nominations with the Singapore and Hong Kong partners and HR team
  • Coordinate with the London training team and local offices on all logistical arrangements including travel plans, catering requirements (dietary requirements), room set up, recording events etc. For virtual training, arrange the sessions, polls, breakout rooms and calendar invites
  • Maintain/publish the monthly APAC Training calendar including global and regional training on and off site
  • Support the PSL / Training Manager in executing the training plan.
  • Organise ad hoc training by external trainers (legal and non legal), liaise with external trainers on logistics for APAC wide training
  • Collaborate with internal stakeholders to manage/host applicable training, eg internal practice training, risk management training, manage logistics as required
  • Key liaison with the central L&D and training teams for all global programmes including A&O offsites and universities
  • Liaise with the local HR teams for nominations to global training programmes including A&O offsites.
  • Maintain a record of who has attended the global training programmes. Based on previous attendance records, recommend eligible Fee Earners to Partners once nominations open for the various core A&O programmes.
  • Liaise with the training hubs in APAC (Singapore, Hong Kong and Australia) to identify dates and venues to run A&O Business School and Support Academy programmes in APAC
  • Promote and run relevant A&O Business School and A&O Support Academy programmes in APAC
  • Recommend suitable training courses offered by the core A&O programmes in the first instance, and coordinate with the managers to determine if they are fit for purpose. If the course is not available under the current A&O core programme, work with external vendors to organise the required training.
  • Responsible for ensuring compliance to the CPD / CLE applications and accreditations
  • Provide any other administrative support to the PSL / Training Manager as and when required.
CPD/CLE - Singapore, WA, NSW, NY, CA, HK
  • Manage the CPD process including queries, protocol, and compliance of various CPD / CLE jurisdictions for the APAC offices, as required.
  • Ensure CPD / CLE accreditation is available and support the application and return protocol in compliance with the CPD / CLE policy
  • Allocate CPD / CLE category and award credit(s) to training attendance, ensure the course profiles are updated including the CPD award
  • Review internal training material, ensure relevant CPD info and CLE codes are included where necessary
  • Coordinate the NY CLE accreditation and documentation process
  • Award CPD / CLE speaker credits and ensure CPD / CLE credits are updated in the applicable databases
  • Track CPD records, tabulate training summary, inform lawyers of completion / shortfall / reminder in applicable CPD Year
  • Coordinate with HR on joiner / leaver information to set up / close CPD / CLE cycles
  • Manage certificate of attendance requests from client training, prepare CPD slides, certificate of training, attendance sheet and provide information for E&W, WA, NSW, NY, CA and other Australia CPD accreditations
A&O learning portal and Knowledge
  • Be the \'Go to\' contact and support for APAC and troubleshoot system queries when required
  • Organise admin user access
  • Conduct training sessions for new joiners on course creation, enrolment, training data and CPD details
  • Provide access guidance to users / learners on the portal learning content, training history and CPD training data.
  • Ensure all training materials are uploaded to the relevant A&O systems
  • Provide content summary and metadata classification for upload
  • Maintain iLearning inventory of training materials for easy reference and access on request
  • Respond to Know How, training requests and library services queries
  • Be the \'Go to\' contact for Singapore library products/resources
  • Connect with A&O Research & Library for practice lawyers\' access to relevant database
Paralegal duties
  • Provide support services to Partners and Fee Earners on client-related matters across all practice groups in Singapore. This may include:
  • Preparing bibles
  • Distribution of original documents and agreements
  • Drafting correspondence
  • Proof-reading
  • Researching legal matters
  • Obtaining documentations
Key requirements
  • Excellent communication and interpersonal skills, including the ability to communicate with partners convincingly
  • Able to work well under pressure and to targets and deadlines
  • Good organisational skills, able to multi-task and be able to deal with urgent requests
  • Strong time management skills and able to work on own initiative
  • Able to understand the wider business issues and to generate and develop new ideas to add value
  • IT savvy.
