Job Description


We are an award-winning boutique Interior Design firm specializing in hotel, resort, and high-end residential design. We are seeking to expand our team and invite eager and motivated candidates to submit their resumes for the following position in our firm:

Accounts and Administrative Executive/Marketing Assistant Duties and Responsibilities :

  • Responsible for office accounts including the preparation, issuing, and tracking of monthly invoices, payroll/ GST submissions, and bank transfers, monitoring and reconciling bank accounts, preparing and monitoring yearly financial projections and budgets, managing office budget and expenses, staff reimbursable claims and petty cash
  • Review of year-end statutory accounting, and tax returns and liaising with the Company\xe2\x80\x99s tax and legal advisors
  • Human resource duties including charting and tracking of employee salaries, annual and sick leave/ holiday schedules, employment pass applications and renewals, ensuring all staff adhere to company policies, and maintaining a happy, healthy, and productive office culture
  • Oversee and manage the Company\xe2\x80\x99s IT systems to ensure optimal performance, speed, security, and recovery systems are maintained and updated
  • Provide personal assistance to the Managing Director, and support to other Directors, including assisting in managing schedules and maintaining appointments/calendars, and organizing flight schedules, visas, hotel arrangements, and travel itineraries
  • Assist in Business Development duties including press releases, preparation of presentation materials, reports and marketing materials, social media updates, and email announcements
  • Management of the office and team while Directors are traveling
  • File documents, organize and manage all computer-based information
  • Organize and coordinate arrangements for client/ supplier meetings, such as preparation of any required documents, agenda, and minutes of meeting
  • Take charge of all general administrative systems and office maintenance
  • Answer phones, perform all general clerical responsibilities and other comprehensive ad-hoc duties as necessary

Requirements:
  • Diploma/A-Level in Accounting / Business Administration or equivalent
  • At least 5 years of secretarial experience with office administration skills
  • At least 5 years of accounting experience, experience in the Interior design industry will be an advantage
  • Must possess strong analytical and planning aptitude, meticulousness, resourcefulness, and initiative
  • Must be independent, and highly organized with a proactive attitude. Able to multi-task and work well as a team
  • Professional appearance and disposition
  • Strong interpersonal and communication skills. Able to liaise and communicate clearly with International Clients
  • Able to maintain confidentiality and demonstrate discretion
  • Proficient with Microsoft Office applications, and the ability to learn new software applications.
  • Preferably able to start work immediately or within short notice
