- Provide comprehensive administrative support to executives and managers, including travel arrangements, meeting coordination, and correspondence handling.
- Assist in preparing reports, presentations, and documents for internal and external stakeholders.-
- Manage and maintain office supplies, equipment, and inventory levels, ensuring availability and timely replenishment.
- Oversee and manage the day-to-day office operations, ensuring a clean, organized, and productive work environment.
- Coordinate with vendors, service providers, and facilities management to ensure smooth office operations.
- Maintain accurate and up-to-date records, files, and documentation in both physical and electronic formats.
- Organize and maintain databases, contact lists, and other information repositories.
- Ensure confidentiality and security of sensitive information, adhering to data protection regulations.
- Serve as a primary point of contact for internal and external stakeholders, facilitating effective communication and collaboration.
- Coordinate meetings, events, and conferences, including logistics, agenda preparation, and minute-taking.
- Collaborate with cross-functional teams to ensure timely completion of projects and deliverables.
Job Requirements:
- Diploma or above in Business Administration, Management, or a related field.
- Proven experience in an administrative or executive support role.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills, including professional correspondence and report writing.
- Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Attention to detail and accuracy in handling administrative tasks and documentation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills to build effective working relationships with stakeholders at all levels.
- Adaptability and flexibility to work in a dynamic and fast-paced environment.
