Job Description

The Warehouse Executive shall be responsible for:

Receiving, inspecting, and documenting all incoming telecommunication and electrical items. Ensuring proper storage with appropriate labelling, segregation, and safety measures. Maintaining up-to-date inventory records and stock control. Coordinating material issuance to project/site teams as per requests. Supervising warehouse staff and ensuring compliance with SOPs and safety standards. Coordinating equipment/tools maintenance and calibration tracking.

Daily Operational Procedures



Receiving Materials



Verify delivery against Purchase Order (PO), Delivery Order (DO), and Invoice. Conduct visual inspection for quantity, model, damage, and specification match. Log all items into the Warehouse Management System (WMS) or manual log sheet. Tag accepted materials with item code/barcode. Reject or quarantine non-conforming items and inform Procurement/QC.

3.2 Storage & Inventory



Store items by category (e.g., fiber optic cables, patch panels, switches, junction boxes). Use FIFO (First-In-First-Out) or FEFO (First-Expired-First-Out) where applicable. Ensure heavy electrical items are stored on pallets/racks with proper support. Store ESD-sensitive and telecom electronics in anti-static packaging. Maintain updated bin card/stock records.

Issuance & Dispatch



Receive MRF (Material Requisition Form) or Job Site Request Form. Pick items as per the request and issue via WMS/log sheet. Pack with clear labelling and DO. Coordinate with transport for dispatch, record the dispatch date/time. Keep acknowledgment of receipt from site team.

Stock Take & Reporting



Conduct weekly and monthly cycle count. Reconcile physical and system stock, report discrepancies. Prepare stock movement report (inward/outward/damaged) monthly. Monitor re-order levels and raise replenishment alerts to procurement.

Equipment & Tools Management



Maintain a register for tools issued to technicians. Track calibration due dates for electrical testers, splicing machines, etc. Send items for calibration as per schedule and retain certificates. Tag tools with asset ID and condition status.

Safety & Compliance



Comply with safety practices (PPE, handling of heavy items, fire safety). Ensure electrical items are not exposed to water/moisture. Implement 5S principles: Sort, Set in Order, Shine, Standardize, Sustain. Support ISO/Quality audits with all required documentation.

Communication & Coordination



Coordinate with Procurement, Site Supervisors, Project Managers. Ensure timely material delivery planning. Attend project coordination meetings when needed. Report non-compliance or material issues to Line Manager.
