Position Summary

We are seeking a versatile Workplace Associate to serve as a key support role combining financial management, administrative coordination, and operational oversight. This position requires a self-motivated professional capable of managing diverse responsibilities while providing flexible support across multiple accounts and locations as business needs arise.



Key Responsibilities

Financial Management:

Execute comprehensive financial operations including accounts payable and receivable processing, budget monitoring and variance analysis, monthly financial reporting and reconciliations, expense management and approval workflows, invoice processing and vendor payment coordination, and financial data entry with accuracy verification.



Administrative Operations:

Coordinate executive calendar management and meeting scheduling, manage document preparation, filing, and record-keeping systems, oversee office supply procurement and vendor relationships, facilitate internal communications and correspondence, coordinate expense reporting, and maintain compliance documentation and regulatory filings. Serve as primary liaison for various administrative processes and procedure standardization.



Operational Support:

Monitor daily operational workflows and process improvements, coordinate with Account head on resource allocation and project timelines, assist with facilities management and workplace coordination, and oversee general operational troubleshooting and problem resolution.



Mobile Support & Ad Hoc Projects:

Provide on-site support to other accounts and locations as business requirements dictate, participate in special projects and cross-functional initiatives, offer backup coverage for key personnel during absences, assist with due diligence activities and site assessments, and adapt to changing business priorities with flexible scheduling and responsibilities.



Required QualificationsFinance, Business Administration, Accounting, or related field with 5 years of relevant experience in finance and operations roles. Demonstrated proficiency in financial software systems, advanced Excel capabilities, and enterprise resource planning platforms. Strong analytical and problem-solving abilities with attention to detail and accuracy in financial processing. Excellent written and verbal communication skills with ability to interact professionally across all organizational levels.

Physical Requirements & TravelPosition requires to travel to other accounts and sites. Must be able to work in various office environments and adapt to different workplace cultures and systems.
