Workplace Coordinator
Location: Singapore
Reports to: Workplace Manager
Position Summary
The Workplace Coordinator creates exceptional first impressions at Stripe's facility while serving as a key operational support for workplace services. This dual role welcomes employees and visitors with professional front-of-house services while coordinating essential facility operations including vendor management, service requests, and event support. The position represents both JLL and Stripe, embodying the company's culture and values through every interaction while ensuring seamless workplace operations and maintaining a welcoming, secure, and well-managed environment.
Key Responsibilities
Reception & Front-of-House Services:

  • Welcome and greet all visitors, employees, and vendors in a professional, friendly manner
  • Manage visitor registration process using visitor management systems, issuing badges and maintaining accurate logs
  • Notify employees of visitor arrivals and coordinate escort arrangements when required
  • Answer, screen, and direct incoming calls through the reception console or phone system Respond to basic inquiries regarding building services, amenities, and local information
  • Maintain a neat, organized, and professional reception area at all times
  • Ensure reception area is fully stocked with necessary supplies and collateral materials
Facility Coordination & Operations:
  • Support vendor purchase order (PO) process by coordinating approvals and tracking deliveries
  • Receive, log, and activate service requests from users through workplace management systems
  • Coordinate with facilities staff regarding building issues, maintenance needs, and service delivery
  • Monitor and track completion of work orders and service requests
  • Support workplace security protocols by monitoring visitor access and adherence to procedures
  • Receive and coordinate the distribution of deliveries, packages, and courier services
Event & Administrative Support:
  • Support planning and execution of workplace events, meetings, and functions
  • Coordinate event logistics including catering, setup, registration, and vendor management
  • Provide administrative support including mail distribution, supplies management, and documentation
  • Maintain accurate records of facility operations, vendor interactions, and service requests
  • Support budget tracking for small facility purchases and services
  • Assist with space planning initiatives and workplace optimization projects
  • Maintain updated knowledge of emergency procedures and support evacuation protocols when necessary
Required Qualifications
  • High school diploma or equivalent; Associate's degree preferred
  • 2+ years of experience in reception, guest services, or customer-facing role
  • Excellent verbal and written communication skills
  • Professional appearance and demeanor with strong customer service orientation
  • Experience with visitor management systems and multi-line phone systems o Proficient computer skills including MS Office applications and basic database management
  • Ability to multitask in a fast-paced environment while maintaining attention to detail
  • Flexible and adaptable approach to changing priorities
  • Strong interpersonal skills with ability to interact professionally with all levels of employees and visitors o Reliable attendance and punctuality o Basic understanding of procurement processes and vendor coordination
Preferred Qualifications
  • Experience in corporate office or technology company environments Knowledge of security protocols and emergency procedures
  • Background in hospitality, customer experience, or facility management roles
  • Experience with service management systems and work order platforms
  • Multilingual abilities (depending on location)
  • Experience with administrative support functions and PO processing
  • Knowledge of facilities service request procedures and vendor management
  • Background in event support, coordination, or project management
  • Understanding of workplace operations, amenities, and space management
  • Training in first aid or emergency response o Experience with budget tracking and expense management
Working Environment
This position is based on-site at Stripe's facility, requiring physical presence during standard business hours. The Workplace Coordinator primarily works at the front desk/reception area, with regular movement throughout the facility for coordination tasks, vendor meetings, and event support. The role involves extended periods of sitting or standing, regular computer use, consistent verbal communication, and occasional lifting of supplies or materials. The position requires consistent professional presence as the first point of contact for the facility while managing behind-the-scenes operational coordination.
