JOB SUMMARY

We are seeking an experienced and dedicated professional to provide excellent Event and Hospitality-related services to align with the global operating model of our business. In this role, you will play a crucial part in coordinating and overseeing the activities to ensure a seamless and exceptional customer experience. Excellent communication and organizational skills are vital for effectively liaising with employees and customers.

ESSENTIALS DUTIES AND RESPONSIBILITIES

  • Internal Events Services
  • Point of contact for any internal events such as local/ APAC or Global Townhalls/ Board Meetings/ Lunch & Learns events and APERO to be held in the Staff Lounge and or Internal Meeting Rooms
  • Cooperate with the Communications team and Business on organizing corporate events.
  • Work closely with the Event Manager APAC on providing the relevant services based on the defined service levels.
  • Assist with necessary bookings of venue.
  • Provide expertise in F&B catering and actual execution.
  • Ensure timely response to event organizer/ host.
  • Sustainable Gastronomy
  • Collaborate with the Hospitality Experience Manager driving the objectives of Sustainable Gastronomy in Singapore
  • Ensuring that 50% of F&B offered in our vending machines is of a healthier choice.
  • Ensuring that 20% of the catering menu is vegetarian.
  • Review the F&B offered in the office are of a sustainable source.
  • Replenishment of Pantry Supplies
  • Coordinate with the team on the room set-up required for the respective event.
  • CRES Communications
  • Prepare timely and relevant communications for the Singapore and Malaysia businesses, following global CRES communications guidelines.
  • Manage incoming emails to the CRES mailbox daily.
  • Coordinate external printing of documents as required.
  • Manage the uploading of content onto Digital Signage
  • Conduct new joiner\'s inductions on CRES topics and ensure inductions slides are updated.
  • Deputize Front Desk Executive
  • In the absence of the Front Desk Executive, perform responsibilities under the following services.
  • Front Desk Operations
  • Access Management
  • Business Services (including post & mailroom, archiving, and employee transport)
  • Front Desk Operations
  • As a secondary receptionist to the main reception welcoming visitors & guests
  • Conduct a variety of front-of-house activities including;
  • Guest registration through the visitor registration portal
  • Issue visitor passes through badging software.
  • Attend, where available, to ad-hoc requests from stakeholders. E.g., deposition of luggage and managing luggage tag, meeting rooms reservations
  • Postal and Courier Services
  • Knowledge of card access systems for issuance of access cards to employees, visitors, contractors, etc.
  • Service Desk agent ensures KPI of responding time are met and assigns tickets to the responsible person.
  • Others
  • Follows security and emergency procedures as defined for the property.
  • Respond to emergency situations in a calm, efficient manner.
  • Summon appropriate assistance and make appropriate notifications in accordance with operating procedures.
  • Other responsibilities as assigned by the manager.
QUALITIFCATIONS & REQUIREMENTS
  • Minimum 3-5 years\' experience in customer & hospitality services
  • Knowledge in Microsoft applications (word, PowerPoint and excel) and Outlook.
  • Ability to multi-task and adapt to changing environments.
  • Customer service attitude.
  • Positive team player.
  • Responsible and pro-active
  • Think and work proactively to provide solutions to solve problems.
  • Ability to meet deadlines with a high degree of efficiency and attention to detail.
