Customer Service & Order Processing

Responsibilities:

Customer Service Responsibilities:

  • Ensure timely and accurate customer service for both internal and external contacts by taking ownership of assigned accounts and demonstrating a deep understanding of the business model and end-to-end supply chain.
  • Serve as a customer advocate, acting as the main point of contact between the warehouse and the account. Resolve issues independently or collaborate with relevant business functions to ensure a clear understanding of customer needs.
  • Proactively communicate any account-related issues to both the customer and internal business partners.
  • Collaborate with Account Executives and leadership to address business issues, mitigate financial risks, and resolve service, allocation, and logistical challenges to meet customer requirements.
Order Management/Reporting/Analysis Responsibilities:
  • Review and manage orders through the order management system (SAP) from receipt to shipment. This includes post-market activities, ensuring order status accuracy, making necessary changes based on business and customer needs, and monitoring shipment flow to minimize revenue risks.
  • Independently analyze orders to ensure product assortment, pricing, allocations, and scheduled ship dates are accurate. Resolve any issues in collaboration with Sales and the account, including negotiation of extensions, pricing adjustments, balance-to-book discrepancies, and returns.
  • Prepare orders according to projected fill rate and delivery/shipping calendar, ensuring on-time shipment. Work closely with shipping partners to address cancel date issues and maintain timely routing responses. Help minimize seepage that may negatively impact Sales Margin Inventory.
  • Provide post-shipment support, including shipping documents, order status reports, proof of delivery, return authorizations, and resolving shortages, overages, and chargeback claims that affect account and company profitability.
  • Adhere to Sarbanes-Oxley (SOX) controls related to revenue protection, approval processes, auditing, and claims processing.
  • Collaborate with Sales and Operations to protect revenue by proactively reporting monthly risks and liabilities, participating in decision-making, and considering adjustments to shipment schedules to meet customer and business needs.
