This role is responsible for organizing and coordinating office operations and procedures to ensure organizational efficiency and effectiveness. The incumbent is also required to provide support to the Office Manager and is part of the administrative team based in Singapore.
Responsibilities
Screen phone calls, redirect calls and take messages
Attending to delivery/guest and distributing mail to mail room
Maintain and liaise with vendor for flowers and plants in the office
Maintain inventory, order office and pantry supplies including stationery, name cards, juices, fruits, training lunches and salads
Book, configure and set up/reset meeting room for event and training
Contact the building management office for aircon extension, loading bay application and liaise with their technicians for issues on office aircon / change light bulbs
Coordinates office management activities - e.g. Fire warden, renovation
Provide Concur support (expense claim)
Manage/assist in the logistic arrangement of regional meetings, training and workshops - hotel, transportation, visa application etc.
Process invoices on M-flow, track and save expenses, invoices in the admin share point
To book, pack and unpack DHL shipments
Assist in the planning, logistics of internal events and community engagement activities.
Supports Office Manager in her daily tasks
Requirements
Possess at least a Diploma in any discipline
At least 5 years of experience in a similar role with a large, complex multi-national company
Fluency in English required; other language skills are a plus
