Ensure smooth administrative operation of the office and manufacturing site e.g. seating arrangement, office pantry supplies, stationaries, door access, workers uniform etc.
Coordinate with other departments regarding administration matters.
Collaborate and liaise with 3rd party vendor or contractors in terms of transport, uniform, canteen, pest control, janitor and other office related services and to ensure fulfilment of contractual agreement.
Manage Companys outsource cleaning contractor.
Attend to employees queries, visitors and external queries via phone calls, emails, schedules meetings etc.
Process and distribution of incoming and outgoing mails & courier services.
Upkeep and maintain administrative records and ensure documents are kept up-to-date.
Prepare visa application letter for local and overseas employees.
Prepare safety work permits for contractors.
Verify invoices for payment processing.
Resolve administrative problems and implement improvements to make them more efficient.
Any other adhoc administrative task assigned.
Job Requirements:
Min GCE O Level
Min 2 years of related work experience
Proficient in Microsoft Office
Knowledge of office management systems and procedures
Meticulous, independent and pro-active
Able to work under minimal supervision in a fast-paced environment
Good communication and interpersonal skills
