Job Description


Job Objective

Provides administrative support to the Executive Management\xe2\x80\x99s office and coordinate internal audit function.

Key Responsibilities Areas

Coordination of Internal Audit

  • Be the single point-of-contact for outsourced internal auditor and internal functions under Executive Management\xe2\x80\x99s office.
  • Coordinate with outsourced internal auditor to schedule audits, interviews, and trips; collect data; and meet audit objectives.
  • Assist with audit preparation and reports.
  • Monitor audit plan, schedule, remedial actions.
Admin Support
  • Collating Board reports on a bi-monthly basis for Executive Management\xe2\x80\x99s office.
  • Coordinate meetings schedule for Executive Management\xe2\x80\x99s office.
  • Coordinate daily dispatch and sorting out mail.
  • Coordinate authorized signatories for documents.
  • Attend to phone calls.
  • Responsible for the procurement of office stationery and refreshment.
  • Coordinate birthday cards for staff and management.
  • Processing of invoices.
  • Manage centralized filing system.
  • Manage mailing.
Membership Management
  • Manage the Membership database is accurate and timely.
  • Review and recommend the membership\xe2\x80\x99s benefits from time to time.
  • Facilitate and manage the admin support for the yearly Annual General Meeting (AGM) and Extra Ordinary General Meeting (EOGM). Attend to the queries from Members.

Supervises Office Cleaning staff
  • Supervise and assign work duties of office cleaning staff. Responsible for the procurement of cleaning inventory.

Vendor Management
  • Coordinate with external contractors, vendors, suppliers for procurement, repair and maintenance works for office equipment and facilities management.
  • Assist in obtaining quotations.
  • Coordinate contracts renewal on a timely manner.
Monthly Reports
  • Provide consolidate monthly report for bookings of meeting rooms for charging purpose.
  • Any other duties may be assigned from time to time.
Requirements
  • Minimum Diploma with 5 years of relevant experience.
  • Ability to handle sensitive and confidential information.
  • Proficient in Microsoft Office, Word, Excel and Powerpoint.

  • Good interpersonal skills and ability to interact at different level.
  • A team player.
  • High degree of multi-tasking and time management capability.
  • Strong organizing and coordination skills.
  • Meticulous and the ability to work independently with minimum supervision.
