Job Description


:

To manage office administration of 2 Student Care Centres (SCC) in Admiralty and Woodlands.

Finance Administration

  • Administer all accounts payable and receivable of the 2 centres
  • Prepare monthly GIRO listings, AR invoices and income reports.
  • Attend to year-end closing matters such as accruals, MSF audit, NEA audit
  • Responsible for fees collection, cash management and cash/cheque deposits, ensure adherence to organisation\xe2\x80\x99s financial policies and processes.
  • Follow-up with clients on outstanding bills payment, settle old ageing income records on a monthly basis. Attend to all billing enquiries.
  • Assist in SCC bursary matters such as records-keeping, tracking of fund balance and letters to clients.
  • Create and maintain specific donation file for donors
Facilities & Operations
  • Responsible for facilities maintenance of the 2 centres. Oversee and liaise with contractors for all repairs and renovation works.
  • Manage procurement and ensure regular replenishment of centres\xe2\x80\x99 required consumables, stationery and supplies.
  • Manage office administration including organising and maintaining filing system, maintain inventories and fixed assets, attend to IT support needs of the centres.
  • Attend to collection and delivery as required by the centres such as delivery of tokens of appreciation to donors, mailers, collaterals to/from HQ
  • Provide logistics support for meetings, training in areas like rooms & IT setup, provision of F&B
Data Management & Reporting
  • Assist SCC teachers in updating of enrolment records, undertake monthly updates of MSF SCFA muster records, ensuring accuracy
  • Assist in generating SCC quarterly reports
HR Administration
  • Provide support in the on-boarding and off-boarding of staff
  • Assist in staff\xe2\x80\x99s medical, insurance claims
  • Look into leave and training administration for all staff in the 2 SCCs
Events and ad-hoc support
  • Assist in CSR events if required
  • Render assistance such as lunch preparation and service, class management duties where needed.
Qualifications:
  • Diploma in Accounting or Office Business
  • At least 3 years of relevant experience
