Manage the end-to-end bid process, including planning, preparation, and submission of bids.
Coordinate with various departments (e.g., technical, finance, legal, compliance, etc.) to gather required information and inputs for bids.
Ensure all bid submissions comply with client requirements and internal guidelines as well as ensuring all deadlines are met.
Serve as the main point of contact for all bid-related inquiries and communications.
Update the bid repository, track record and Customer Relation Management system with bid-related information and outcomes.
Facilitate internal bid review and approvals.
Ensure effective communication and collaboration between all parties involved in the bid process.
Accuracy and completeness of documentation prepared for submissions.
Preparation of documents required for submission to regulatory authorities.
Coordinate the submission process, ensuring all deadlines are met.
Track the status of submissions and provide updates to relevant stakeholders.
Communicate with regulatory authorities to clarify requirements and respond to inquiries.
Maintain detailed records of all submissions, including copies of submitted documents and correspondence with authorities.
Ensure records are organized and easily accessible for audits or reviews.
Update databases and tracking systems with submission information.
Ad-hoc duties if required.
Skills:
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
Strong organizational and multitasking skills.
Effectiveness in managing bid schedules and coordinating with internal teams.
Attention to detail and accuracy.
Qualification:
Bachelor\xe2\x80\x99s degree/ Diploma or equivalent.
Experience:
Experience in an administrative role, preferably in bid coordination.
