Position summary Catholic Welfare Services Singapore (CWS) is a non-profit, social service organisation founded in 1959 with the aim of uplifting the lives of the less fortunate in the community. CWS manages and operates a wide range of programmes, institutions and services in the social service and eldercare sectors. CWS is looking for an organised and resourceful professional who possesses good people skills to fill the job position of Volunteer Executive.
The Volunteer Executive is a vital team player who works alongside a dedicated team of personnel from CWS nursing homes and CWS programmes to support various volunteer-centred activities including, but not limited to, interviewing and recruiting volunteers, conducting volunteer orientation, deploying volunteers in different roles based on their interests and skills sets, coordinating volunteer training, engagement and recognition programmes, and maintaining the Volunteer Management System using Salesforce software. He/She also conducts needs analysis for volunteering programmes, assists in risk assessment and risk mitigation measures for volunteering programmes. Together with the CEO and Volunteer Engagementteam at HQ, he/she assists in the annual department planning, budgeting, and other programming initiatives.
Responsibilities
Manage volunteer resources
Coordinate recruitment process for volunteers including conducting interviews with volunteer applicants.
Conduct quarterly evening volunteer orientation for new volunteers.
Match volunteers to appropriate programmes and clients (a.k.a. beneficiaries) based on the programme requirements, and volunteer interests and expertise.
Coordinate and support the delivery of volunteering programme briefings, learning workshops, training programmes, volunteer recognition and engagement activities.
Work with the programme team to facilitate volunteer participation in volunteering programmes.
Execute reactivation activities for inactive volunteers as means of retention effort.
Be familiarised with the Volunteer Management System (VMS) using Salesforce software.
Maintain the volunteer database including personal information updates, timesheets, and training records in the VMS.
Maintain the volunteer management resources such as the volunteer handbook and orientation presentation deck, Volunteer Indemnity and Code of Conduct, and VMS user guide videos/manual.
Maintain the volunteer engagement budget.
Facilitate volunteer partnerships
Conduct needs analysis for volunteering programmes using MS Excel.
Support the risk assessment of volunteer participation.
Assist in the risk mitigation measures for volunteering programmes.
Monitor the effectiveness of volunteer partnerships in programmes through volunteer feedback and satisfaction survey questionnaire.
Manage volunteer policies and processes
Support the development of volunteer management policies and processes.
Support the evaluation of volunteer management policies and processes.
Others
Perform any specific projects provided by the CEO/Supervisor.
Minimum Requirements Diploma Holder in any discipline
