General Summary of Responsibilities

  • General administration of the estate / building
Specific Job Requirements
  • To upkeep and maintain the common facilities (swimming pool, spa pool, sauna, gym, squash and tennis courts, playgrounds, putting green, BBQ pits, function room, games room) and to fix date of inspections
  • To have a proper record of all SP list, master list, defect list, all operation M&E drawing and tracing, file opened and postage for mailing, etc
  • To order and keep track of stationery inventory including office inventories
  • To take charge of the security passes / carpark labels
  • To collect admin fee / renovation fee
  • To administer the following works:
  • Refund of renovation deposit
  • Refund of other deposits (Security pass / 2nd carpark label / BBQ pits / Function hall)
  • Strata roll
  • To type minutes / correspondence / letter and to register movement of keys (in key press)
  • To file and update all administrative documents and files and ensure that they are kept and filed in a manner which facilitates easy retrieval
  • To prepare circulars to Subsidiary Proprietors / residents and to distribute incoming fax / letters and keep proper records of correspondences
  • To assist the Condominium / Complex Manager in the following administrative works:
  • Staff Personnel file - non-management level
  • Update of annual and medical leave record
  • Scanning for 1st interview (non-management level)
  • Negotiate / Source in purchase of budget items for office equipment
  • Keep the petty cash, if assigned
