Administrative Assistant Summary of Responsibilities: The main responsibilities and tasks of this position are as listed below, but not limited to these:

  • Ensuring administrative work such as inventories is done.
  • Prepare Assets handover form for colleagues.
  • Ensuring all invoices and payments are processed on time for the various properties.
  • Work with the Managers and external vendors to resolve pending billing issues.
  • Ensuring all team members to submit medical leaves, National service leave and updated on the leaves for the year.
  • Work on the Various Annual Maintenance cost.
  • Assist on collating, updating and witnessing Hardware Disposals for the various properties.
  • Assist on enquiring quotations from vendors for the various properties.
  • Assist colleagues to purchase items and PO creation in Material Control System.
  • Liaising with the vendors on the arrival timings of the items purchased.
  • Ensuring items are correctly charged and delivered for the invoices received.
  • Ensuring dispute invoices to be cleared.
  • A daily report sent every morning to all team members on number of cases of internet issues faced and reported by guest to the helpdesk.
  • Ensuring open and unresolved cases to follow up with system administrator on duty.
  • Other duties assigned by the Assistant Director, IT Operations.
Qualifications:
  • Must possess minimum tertiary qualifications.
  • 2 - 3 years of administrative experience.
  • Preferably with hospitality training experience.
  • Fluent spoken and written English.
  • Private Secretarial Certificate preferred.
  • Computer literate.
  • Proficient in Microsoft Application products such as Word, Excel, Powerpoint.
  • A team player. Able to work closely with colleagues.
  • Presentable, well groomed.
  • People and service oriented with an eye for details.
  • Able to work under pressure.
  • Good written and verbal communication skill for customer handling and system documentation.
  • Innovative and creative in contributing ideas.
  • Good problem solver with a positive work attitude, followup skills and ability to work independently.
