Office)Working days: Mon-Fri (8am-5pm)Job Overview:We are seeking a proactive and organized Administrative Assistant to support our office operations and ensure smooth coordination of various administrative tasks. The ideal candidate will have excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This role will involve managing office supplies, handling correspondence, and assisting with event planning and corporate social responsibility (CSR) activities.Responsibilities:1. Event Coordination & CSR Liaison:

  • Assist with organizing company events, including logistics, scheduling, and coordination
  • Serve as a point of contact with Northwest CDC for Corporate Social Responsibility (CSR) initiatives and activities, ensuring alignment with company objectives.
2. Mail & Courier Management:
  • Handle daily mail operations, including opening, sorting, and distributing incoming correspondence
  • Arrange for courier services, receive packages, and ensure timely distribution to relevant departments.
3. Service Subscription & Office Maintenance:
  • Maintain and renew subscription-based services such as Singtel, Singapore Business Federation (SBF), and Singapore Institute of Building Limited (SIBL)
  • Monitor office supplies inventory and place orders for stationery, pantry items, water bottles, and other office necessities
  • Oversee maintenance services for office equipment such as photocopiers, air conditioning units, and pest control.
4.Date Entry and Documentation:
  • Enter new work orders into the system and ensure data accuracy
  • Ensure proper reporting and documentation in the system
  • Prepare and send daily reports and timely update to management
5.Administer Workplace Safety (when required):
  • Coordinate with safety officer to ensure safety compliance
  • Assist as the PIC and coordination for fire drills activities
  • Keep up to date with workplace safety and health-related advice governed by the local Ministry of Manpower under the Workplace Safety and Health Act and other related legislations (E.g. Covid situation)
  • Any other ad hoc task if any
Requirements
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with office automation systems is a plus.
  • Ability to work independently and collaboratively within a team.
