Greet and assist visitors, clients, and employees in a professional and friendly manner.
Manage email and phone communications, respond to client inquiries, take accurate messages and direct calls to appropriate personnel.
Manage the office area and ensure it is a clean, organized, presentable and professional environment.
Receive and distribute mails, packages, and deliveries.
Provide administrative support to management and staff, manage and maintain schedules, appointments, and meeting rooms.
Perform basic administrative tasks such as photocopying, scanning, and filing, ensure the smooth operation of office equipment, including copiers, printers, and computers and all equipment and supplies needed are well-stocked and properly maintained.
Assist with on-boarding and off-boarding procedure and perform other related duties as assigned.
Draft, edit, and format documents, correspondence, and reports.
File and retrieve documents and records as needed.
Maintain client files and databases, ensuring they are up-to-date and secure.
Arrange travel and accommodations for staffs and partners when needed.
Requirements:
Minimum qualification of Diploma or equivalent.
Fresh grads are welcomed to apply
Previous experience as an administrative executive, legal secretary or in a similar role is a plus.
Strong organizational and multitasking abilities and able to prioritise tasks effectively with attention to detail and accuracy.
Excellent written and verbal communication skills in both English and Mandarin Chinese.
Familiar with office equipment and software, proficient in Microsoft Office
Ability to maintain confidentiality and handle sensitive information.
