JOB SCOPE

  • Ensure that excellent service is provided to team / guests in a prompt, friendly and courteous manner
  • Attending to external guests / answering phone calls
  • Ushering of guests, attending to guests queries, provide assistance to guests
  • Offering refreshment to guests’ requests
  • Handling Incoming and Outgoing Mails/Items/ Documents (including Mail Distribution, Mails tracking)
  • Calendaring meeting room schedule (provide support to meeting room allocations / preparations)
  • Ensuring cleanliness and tidy of office environment
  • Maintaining inventory and Purchasing Supplies for Office (Stationery /First-Aid / Pantry Supplies)
  • Purchase Request for Team members (Name Stamp / Business Card and any other requests for their work stations’ needs)
  • Assisting Team members with IT matters / Training Registration / Travel Requests / Petty Cash Claims
  • Updating of office contact lists / organization charts
  • Cheque Received Recording (update to cheque register / S-drive)
  • Book keeping of office records (Delivery Orders / Invoices / Application forms and other documents)
  • Tracking of department phone billings on a monthly basis
  • Receiving of Vouchers / Gift Certificates / Sands Rewards redemption submissions
  • Safe keep of Gift Certificates pending to be collected by guests (update records tracking list)
  • Assisting in creating and updating loading dock account for Retailers
  • Raise office door access to new Team Members
  • Update door access matrix when necessary
  • Exit clearance for Finance Team Members
  • Assisting in monthly parking coupons distribution to tenant
  • Performing any other ad hoc assignments as required

JOB REQUIREMENTS
  • Pleasant personality and able to communicate with guests
  • Able to multi-task and work in a fast-paced environment
  • Competent in Microsoft Office skills is an advantage
  • A team player and customer service oriented
  • Working Hours – 9am – 6pm (required to be in the office at least 15 mins earlier)
