Details of the Division and Team:

AFC\xe2\x80\x99s Mission is:

To be a trusted and respected independent control function that aims to protect the bank from financial crime risk.

To establish a proactive framework to prevent, detect, investigate and report bank-wide financial crime risk events

This role is to support both the Regional Head of AFC based in Singapore and supporting the wider AFC team when required. This may include owning the preparation of documents for internal and external meetings and committees, time management of senior management and correspondence, as well as supporting key initiative, projects, and programs through proactive organizational and coordination skills.

Your key responsibilities:

Provide administrative and technical support to AFC and COO team for key initiatives, project work and ad-hoc activities as necessary.

Coordinate key committees within AFC, prepare and submit materials and handle follow-up actions in close partnership with AFC management and COO team.

Work closely with the senior management of AFC and other relevant stakeholders within the bank across all hierarchical levels.

Coordinate calendars and schedules to ensure effective time management and prioritization of engagements where necessary.

Own the setup of meetings across multiple time zones, booking rooms & audio / video facilities, organizing passes and coordinating catering so that events run without disruption.

Able to deal with sensitive confidential information.

Prepare materials for internal and external mandates e.g., presentations, spreadsheets, management reports, agendas to a professional standard, maintaining attention to detail

Establishes trust to be able to handle extensive telephone and email correspondence on the senior manager\xe2\x80\x99s behalf.

Facilitate the senior managements travel plans with minimum disruption, including planning and booking detailed travel itineraries (flights, hotels visas), organizing travel meetings and reimbursement of travel expenses.

Prepare and submit expense claims promptly and accurately, Process corporate card and cash expenses for reimbursement.

Coordinate an effective and efficient office, including the Future of Work program including seating plans and office moves to ensure efficient use of office resources, handling purchase orders and expense / invoice processing in a timely manner.

Coordinate on-boarding of new employees and contractors to minimize set-up time.

Work with other personal assistants where necessary to ensure support needs are covered during e.g., short-term absence.

Coordinate and manage departmental documents, leave schedule, and various system access

Your skills and experience:

Minimum a bachelor\xe2\x80\x99s degree from an accredited tertiary institution

Proven project / coordination / administrative experience with the ability to interact with stakeholders of all levels

A self-starter and with the ability to use logic and sound judgment when performing the tasks

Experience in a large multinational organisation preferably Financial Services

Knowledge of Compliance / Financial Crime would be beneficial

High level of personal integrity and professionalism, ability to handle sensitive and confidential information, good judgment and a high level of discretion

Excellent oral and written communication skills, demonstrating a passion for quality and attention to detail.

Good organizational skills and the ability to prioritize workflow, demonstrating flexibility when handling multiple tasks.

Demonstrated ability to work well under pressure in a fast-paced environment.

Proven ability to drive assignments autonomously and interact self-confidently with senior management, demonstrating resilience.

Excellent computer skills, email application, confident in handling MS Office applications such as Excel, Word, PowerPoint.

Ability to work well in virtual teams in matrix organizations.

Role is required to be performed on-site at One Raffles Quay office. Relevant vaccination requirements may apply.
