-The Analyst – Facilities provides a safe, productive and well-maintained physical environment for Anglo American by planning and delivering professional services that are sustainable and supportive of business excellence. Performance & Delivery

  • Manage day to day operations and floor management including but not limited to supervision of cleaners, contractors, etc
  • Meeting room management but not limited to ensuring all meeting rooms are cleaned and ready to be used for next meeting.
  • Stationery management.
  • Coordinate Facilities projects; but not limited to preparing tender specifications, site briefing, evaluation, and project management.
  • Compliance with but not limited to Health, Safety and Environment local requirements, SHE Way, ISO 14001 & ISO 45001.
  • Review Standard Operating Procedures
  • Review & update internal communications/website
  • Event management but not limited to providing coordination and support and arranging meeting rooms for functions and events including handling the collapsible wall of the meeting room, arrangement of chairs, flip charts, etc and thus must be physically fit.
  • Participate in rolling out employee engagement programmes for Singapore office (such as crafting emails, putting together programme agendas, execution of programmes)
Administrative (In the event receptionist coverage is required or shortage of manpower):
  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Maintain office security by following safety procedures and controlling access via reception desk (monitor logbook, issue visitor badges) in accordance with Workplace SMM
  • Serve drinks to the guests
  • Answer, screen, forward incoming phone calls and taking messages where required.
  • Receive, sort and distribute of mails
  • Handle incoming courier, dispatch and deliveries
  • Handle all confidential matters responsibly and operate at the highest level of confidentiality
Sustainability & Social
  • Assist in sustainability of the office.

Qualifications
-What we’re looking for
  • Diploma or Bachelor in Built Environment/Facilities Management or related courses.
  • HSE, ISO experience
  • Good working knowledge of the entire Microsoft Office suite i.e. Word, Excel, Power Point
  • Excellent planning and organisation skills and the ability to manage competing priorities
  • Attention to detail and commitment to deadlines
  • Work calmly under pressure
