Responsibilities include: Ensuring Council Members have information and materials required for a valuable Council experience Maximizing Council Member engagement and retention Overseeing Council meeting operations Maintaining timely and accurate meeting expense forecasts Supporting the invoicing process to ensure timeline payments. Works in conjunction with the associate Director, Program Directors, Council development team and others. II. REPORTING RELATIONSHIPS The position reports to the Associate Director, Councils, Asia. III. PRINCIPAL DIRECT ACTIVITIES Maintains regular contact with members and participants of assigned councils through verbal and written communication. Corresponds with them concerning membership/participation, program agendas, research updates and meeting administration. Alerts Associate Director of any issues that are highlighted through these communications. Manages the day-to-day operation of assigned councils including members and participants contact and updates, website usage, surveys development and expense/budget control. Execute and manage Council meeting logistics to ensure a high quality Member Experience for all meeting formats (Virtually, Hybrid and In-person) coordinates in-between events initiatives such as online platfrom, conference calls, create surveys and compile results etc. Attends all or selected meetings to represent TCB, build rapport with members/participants, ensure meeting quality and capture the leading edge ideas generated in Council meetings. Maintains up-to-date records of membership, attendance, speakers, Council charter sheets, promotional letters, meeting summaries and meeting evaluations for assigned Councils. Updates CRM system regularly (SUGAR, files on shared drive, Council website etc) Liaises with speakers to prepare necessary meeting material. Welcome new members to councils through extensive on-boarding efforts. Manage member replacements and transitions. Create new ways to engage our customers and facilitate networks Works closely with Associate Director and Program Directors, on membership retention and program development initiatives. Assist with marketing efforts in Council department. Work with Associate Director and Program Directors on new Council launches. Support the Associate Director in any way necessary to achieve the goals of the department. Other duties as assigned. IV. RESPONSIBILITIES It is the Council Manger's responsibility to assist and communicate with the team to ensure that best practices are shared in order to deliver the highest value possible to customers. V. CONTROL RECEIVED Other Duties as assigned. VI. DESIRED QUALIFICATIONS, REQUIREMENTS AND COMPETENCIES ' Bachelor's degree or equivalent ' Minimum 5 years business experience ' Experience in account management, professional services delivery, customer service, relationship development or Event planning & management. ' Outgoing and gregarious good at networking strong interpersonal skills. A good listener. ' Well organized process driven, good project management skills and ability to work independently ' Strong intellectual curiosity about what Is happening in the world including developments in business and geopolitics ' Some understanding of the MNC corporate environment and experience in dealing with MNC senior executives. ' Excellent written (email) and verbal communication skills (English). Mandarin Chinese a plus. ' Be able to travel once borders restrictions relaxed (20%) ' Strong PC skills: Excel, Word, PPT.
