DESIGNATION : Assistant Executive/Executive, Admin

RESPONSIBILITIES
Facility and Operations Administration

  • Support the Centre Supervisor and Admin Manager in administrative task in order to achieve and maintain efficient and smooth running of the centers.
  • Ensure upkeep, cleanliness and maintenance of the facilities. This includes liaising with vendors on maintenance matters, upkeep of first aid supplies and fire-fighting equipment.
  • Manage payment including cash collection and issue receipts.
  • Coordinate with clients or family members on collection of fees, ensuring prompt payment of service.
  • Assist workplace safety exercises (e.g. fire drills) in accordance with safety guidelines and regulations.
  • Assist in ad-hoc projects e.g. office/centre renovation.
Programme & Data Administration
  • Work with relevant Program Supervisor for back-end program administration and implementation coordination and support.
  • Upkeep of client\'s records and relevant databases within the Service Point, including the use of shared IT platforms for centralized depository of documents.
  • Support in collation of data and statistics for program and services reporting to government authorities and publication content generation.
  • Assist in implementation of personal data protection policies (PDPA) and measures in daily operations.
  • Assist in Customer Satisfaction Survey report for all clients upon discharge.
  • Assist in Volunteering Management matters to ensure timely execution.
Procurement & Financial Administration
  • Manage the procurement and replenishment of office / centers required consumables, stationery and supplies.
  • Process accounts payable and receivables, raising purchase and payment requisitions with supporting documents, as well as month-end reconciliations on program expenses tracking.
  • Check and submit monthly Income Summary Report with supporting docs to Finance Department.
  • Support in administering sponsorships and donations, including liaising with external partners where needed and proper record-keeping for audits.
  • Assist in Donation-In-Kind collection and distribution, working closely with Head Office and Admin Manager to ensure smooth execution.
  • Ensure that physical fixed assets tally with the fixed asset records maintained in finance system and assist in asset counting when required.
Front Desk Administration & Secretariat Support
  • Manage front desk duties and attend to calls and walk in enquiries.
  • Provide logistics support e.g. booking meeting rooms, prepare beverages, set up laptop, projector etc.
  • Responsible for word processing, and updating of all materials regarding schedule reports, filing, photocopy, letters, writing minutes of meetings, forms, brochures, proposals, statement of accounts, clients\xe2\x80\x99 records etc.
HR & IT Administration
  • Involve in internship recruitment activities, liaise with ITEs and Polytechnics lecturers and provide support to Centres\' Supervisors on internship matters.
  • Provide support in the on-boarding and off-boarding of new staff, interns.
  • Assist in the administration and tracking of training applications and plans of the staff.
Requirements
  • At least 1 to 2 years of related administrative experience
  • Proficient in MS office (Words, Excel, PowerPoint)
  • Good team player and able to work independently
  • Good communication and interpersonal skills
  • Able to multi-task and work efficiently


QUALIFICATIONS
  • Minimum \xe2\x80\x98A\xe2\x80\x99 Levels or Diploma holder
