Job Description



Responsibilities:
Facilities Management


  • Manage School\xe2\x80\x99s building and facilities as part of the Operations and Facilities team.

  • Develop up-to-date SOPs for key processes for the new school to be aligned with University\xe2\x80\x99s guidelines and policies, ensuring effective and timely building and facilities maintenance, and optimising resources with appropriate maintenance and upgrading.

  • Review, propose and implement tracking progress of projects relating to R&R and operations.

  • Review and identify where service gaps can occur and help to implement plans to close service delivery gaps.

  • Assist in facilities management and safety issues e.g. conduct monthly routine checks, generate reports and track issues.

  • Provide support to School\xe2\x80\x99s safety endeavours as a member of the School Safety Committee.

  • Ensure full functionality of general office and meeting rooms, including maintaining adequate amount of stationery supplies and ensuring serviceability of office equipment.

  • Prepare and allocate offices/work stations for new staff and allocate cubicles for new postgraduate students and exchange students.


Assets Management

  • Establish good understanding of the University Asset Management policy, guidelines and procedures.

  • Work closely with the School Finance team to improve on asset processes, establish a system of controls, procedures for the recordation of assets acquisitions, disposals, and transfers.

  • Coordinate the planning and execution of the annual asset audit (Physical Asset Sighting) exercise.

  • Manage and coordinate other asset related work, as assigned by the School\xe2\x80\x99s Senior Administrator (SA) and/or Reporting Officer (RO).


Procurement

  • Undertake basic procurement job functions for the team and/School.


Meetings\xe2\x80\x99 Secretariat Duties

  • Coordinate key meetings in school, including but not limited to, School Management Committee Meeting, and School Faculty Meeting.

  • Undertake minutes-taking duties.


Events Management

  • Organise and/or support College/School functions and events, as tasked by the SA and/or RO.


Other duties

  • Undertake ad hoc duties and projects as assigned by the SA and/or RO, such as exam-related duties.


Requirements:

  • Minimum degree holder in any related field from a recognized University.

  • At least 4 years of relevant experience. Prior working experience in the tertiary education sector will be advantageous, though not necessary.

  • Good communication skills, both written and oral.

  • Detailed oriented, meticulous with positive attitude.

  • Resourceful, self-driven, proactive, problem solver, ability to work independently.

  • Good organisational and planning skills.

  • A good team player who works well with various stakeholders.

  • Ability to work well under pressure.
