Job Description




The Assistant Manager/Manager will be in charge of ensuring the smooth running of the functions under the purview of the Controller.

Grant Claim Administration

  • Assist with the reimbursement functions and ensure the recordings are in accordance to the terms and conditions stipulated in the funding agreement and timely submission of claims in accordance with the agreement
  • Assist with both internal and external audits including AUP audits as required by the funding agencies/ministries
  • To ensure income accrual/billing/grant claims are performed timely
WBS Administration
  • Prepare document for WBS creation
  • Maintain the WBS agreement folder in nBox or Shared Drive
  • Prepare WBS access forms to grant and/or remove user access to/from WBS
  • Maintain the WBS user access listing which consists mainly the SAP user names, SAP user ID and WBS access. Quarterly, ensure the validity of the access.
  • Prepare (1) bi-annually Dormant Accounts and (2) Non-Research Grant schedule and (3) technically completed WBS for submission to OFN
  • Prepare and review the C and N WBS on a quarterly basis for (1) Dormant Accounts and (2) technically completed WBS with follow-up action.
Donation Administration
  • Prepare the Donation Collection form in accordance with the Gift Agreement / Deed of Donation / Award Letter and purpose
  • Ensure correct coding of GL and WBS for accuracy and completeness of the donation collection form
  • Submit the Donation Collection Form to OFN timely
  • Prepare quarterly reconciliation for donation and matching grant receivable
  • Prepare donation-related journals
Balance Sheet Schedule
  • Prepare a bi-monthly balance sheet review
Bank Reconciliation
  • Prepare Bank Reconciliation on a monthly basis
Student Finance
  • To ensure that Student Finance-related transactions are well managed & to resolve related issues.
Other Duties
  • Assist in any other accounting-related functions and reporting requirement
  • To provide advice to internal customers or other divisions of the School on Finance related guidelines and policies including day-to-day execution of finance duties to ensure adherence and compliance with School-wide guidelines, policies, and procedures
  • Liaise with other functional staff to put the finance and accounts in the context
  • Presentation to Management, and internal and external stakeholders when required
  • Any other ad-hoc duties as assigned from time to time
Qualifications
  • Minimum 2 years of working experience
  • Working experience with Institute of Higher Learning/education/government sectors is an advantage
  • Ability to set priorities, complete work with minimal supervision, and meet deadlines
  • Thrive in problem-solving
  • Excellent writing and communication skills
  • Diplomatic in handling internal and external stakeholders
  • Developed accounting skills are essential
  • High level of proficiency in MS Excel, PowerPoint, and Word
  • Good working knowledge of SAP S4Hana is an added advantage
  • Experience in managing multiple priorities and stakeholders in a culturally diverse environment.
  • Meticulous with a strong analytical mind and the ability to work under pressure to meet tight schedules
  • Excellent team player who demonstrates flexibility and embraces collaboration
