Role Responsibilities Responsible for supporting the Group Corporate Affairs and People & Culture Communications teams with administration tasks including external vendor management, budget management, recruitment admin and technology support. Key responsibilities
Vendor management
Support teams in \xe2\x80\x98request for proposal\xe2\x80\x99 (RFP) processes to establish suitable vendors.
Working closely with the Supply Chain Management (SCM) team, onboard new vendors, completing all required risk assessments, TPSAs, NDAs and other tasks as triggered by SCBuy.
Serve as the main point of contact for SCM.
Seeking input from the wider teams, draft vendor contracts, SOWs and engagement requests.
Maintain a log of all vendor contracts, ensuring that RFPs are triggered / new agreements are raised in a timely manner.
Conduct vendor performance reviews, as required.
Budget management
Working closely with the Corporate Affairs & Brand and People & Culture Communications Business Planning Managers (BPMs), track and manage all team budgets, providing regular updates to department heads.
Support BPMs in preparing materials for quarterly Business Performance Forum meetings.
Serve as key contact person for the CABM COO team.
Raise purchase orders, process invoices and track / manage all payments through to completion (updating budget documents as you go).
Process cross-border recharges.
Request approvals and dispensations for credit card purchases.
Where required, support wider teams with expenses processing.
Recruitment / team admin
Complete SuccessFactors training to ensure familiarity with all HR-related systems and processes.
Raise job requests and follow through to completion.
Serve as key contact for Talent Acquisition team, supporting with CV shortlisting, interview scheduling and candidate onboarding.
Manage NEWs (contract workers) including onboarding and timesheet approvals.
Keep a record of team leave plans and updates.
Raise access and technology requests for all new joiners.
Diary management and other secretarial support (20% of time)
Support the Managing Directors (MDs) based in Singapore with basic diary management (schedule meetings with other senior executives, room bookings, PA distribution lists).
Support the MD based in Singapore with travel bookings and expense claims.
Other
Working closely with the Corporate Affairs & Brand and People & Culture Communications BPMs, support in the tracking and management of Objectives and Key Results (OKRs), including drafting materials for check-in meetings.
Liaise with IT / Guru bar colleagues when technology issues arise (e.g., non-functioning laptops / network issues).
Support with team activities and events (e.g., all team calls, social gatherings).
Business
Awareness and understanding of the CABM strategy and OKRs.
People & Talent
Ensure all team members are registered for required training and that all e-learning is completed by the required deadline.
Risk Management
Proactively raise potential risks and known issues, identifying solutions to mitigate or resolve.
Governance
Working closely with the CABM COO office, ensure that any projects meet standard global governance policies and procedures where applicable and where required.
