Job Description




Job Purpose :

The mission of the Office of Alumni Relations (OAR) is to nurture mutually beneficial and lifelong relationships with alumni and engage them along NUS\' aspirations. The Head of Administration supports this mission by helping to manage department resources in support of efforts to engage with alumni from the University\'s 350,000 alumni community.

The Head of Administration is a key member of the department\'s management team and runs the administration and finance for the department. He/she also oversees a building operations team that ensures that the Shaw Foundation Alumni House, which houses three NUS Offices, is optimised to engage alumni and the public through its spaces and facilities.

This candidate will be responsible for:

  • Managing the department\'s human resources and finance, including staff onboarding and budgetary matters;
  • Ensuring that the department\'s handling of alumni data and records is in strict compliance with Singapore\'s Personal Data and Protection as well as the University\'s policies and guidelines on the use of personal data;
  • Liaising with University\'s central offices (including Finance, Procurement, Human Resources, Campus Infrastructure, Risk Management, Emergency and Security), and keeping up-to-date with the latest administrative policies and guidelines;
  • Overseeing a team that runs daily maintenance and regular capital works at the Shaw Foundation Alumni House, markets its spaces for hire, and handles front-of-house alumni helpdesk enquiries;
  • Advising and troubleshooting issues relating to administrative and policy matters;
  • Assisting the Chief Alumni Officer in the running of the office, and any other projects assigned.
Qualifications
  • A recognised degree with at least of 8 years of proven track record in managing administration and finance within a large, complex environment.
  • Conversant with financial reports and procurement best practices. Familiarity with S/4HANA and Ariba would be an advantage.
  • A self-starter and team player who is creative, resourceful and good with people.
  • Good command of English with strong verbal and written communication skills.
  • Excellent project management skills, meticulous and attentive to details.
  • Adaptable and able to multi-task in a fast-paced environment.
