Work Dynamics - Integrated Facilities Management
Brief office information
Located at Mapletree Business City, the office is tenanted area of about 100,000sqft divided in 3 floors. Office hours is 8.30am to 5.30pm, 5-days working week. In the event of rare critical equipment or major incident, off office hours activation may be needed.
Workplace Management
You are responsible in ensuring that the workplace is in good condition, clean, and ready for use. This shall include various workstation points, focus point, utility room, pantry, meeting room, phone booth, nursing room, cozy room, and recreational area.
Internal Communication
You are responsible in managing the communication across various means, such as but not limited to email, print, poster, and verbal engagement.
End-user engagement
You shall engage with end user and key personnel on regular basis. Targeting daily engagement of 1% employees or 10 people, whichever is more. Building good rapport and being the contact person for any workplace-related enquiry. This shall include handling Facility Ticket and GRF Helpdesk at Integrated Helpdesk.
Maintenance Request & Scheduling
You shall liaise with Workplace Manager for the schedule for maintenance, including liaise with vendor (both JLL & client\xe2\x80\x99s vendors) and Building Management. Community Lead shall be in the loop of this communication too.
Soft Services
You shall manage the soft services, including cleaning services, indoor plant, green wall, pest control, water filter maintenance, coffee machine, and pantry provision & supply.
Locker, Cabinet, and Seat Planning
You shall manage the list for locker, cabinet, and seat planning, ensuring it updated regularly. Assist Workplace Manager in high level planning and re-arrangement work.
New Hire & Exit
You shall assist New Hire with workplace tour orientation and help settle down with the assigned locker and zone. Exit employees\xe2\x80\x99 locker, cabinet and zone shall be cleared and list updated.
Car Park
You shall manage Carpark List maintenance. It shall include communication for payment reminder, wait list maintenance, and process new carpark. Liaise with Building Management closely for any changes.
Touch points activation
You shall work together with Community Lead and Employee Engagement to initiate and implement events or activities.
Finance
Working with Workplace Manager to understand the contract and various vendors to liaise, you shall manage the complete AP side, both under JDE and SAP ARIBA Guided Buying, including getting approval for the work. JDE process shall include raising POR, performing GR and processing invoice. SAP ARIBA Guided Buying shall include raising POR, performing GR, Accrual, and submitting invoice to AP team. Liaising with finance team both from JLL and client sides when necessary.
Minor Move, Add, Change (MAC)
Liaise with employees and vendors for minor MAC raised. Build move matrix, brief employees, ensure approval for funding, and ensure that the movement happens correctly. Post-move: update the record and get feedback from staffs on the experience.
General administrative activities
You shall participate in daily huddle with Community Lead and give feedback of observation or improvement. You shall also aid in general administrative and other duties as assigned by Community Lead and Workplace Manager, including information in the Monthly Report submitted to the client.

Experienced
You have at least 2 to 4 years of experience in a similar role in a corporate environment. It would be great if you have prior experience in facilities, property management, hospitality or related field.
Professional and good communicator
You are able to carry yourself well, confident, friendly, and engaging. You are also able to confidently interact with all levels of the organisation from client\xe2\x80\x99s staffs to Cleaning Contractors and learn new systems quickly.

You can demonstrate consistent \xe2\x80\x9cCustomer first\xe2\x80\x9d mind set. Few good referrals and sample of success stories would be beneficial.

You are able to develop a sense of motivation by looking at every situation with a sense of enthusiasm. You shall ensure that the site is arranged based on the plan. Willing to roll sleeve to meet the target within the resources. Sharp analytical skill with decision making, even under pressure.
Continuous Improvement
You have demonstrated experience with continuous improvement initiative. Observation and survey prior proposal would be beneficial.
