General Summary of Responsibilities

a~ Assist the Property Manager in the provision of high quality services to clients.

Specific Job Requirements

a~ Communicate frequently with owner and all Sole Proprietors / Tenants to provide timely relevant and professional advice

a~ Ensure all leases and other documentations are fully executed and in place with details properly recorded

a~ Provide recommendations and assist with negotiations relating to rent review, lease renewal and leasing along with other tenant negotiations as required in a timely and professional manner

a~ Supervise tenancy fit-outs to ensure consistency and compliance with building regulations

a~ Inspect regularly all buildings under his/her portfolio to ensure the highest standard of house-keeping, together with co-ordination of minor works where it is deemed to fall within management function

a~ Ensure total compliance with normal trust account management

a~ Reconciliation of outgoings in accordance with legislation and leases

a~ Prepare or assist with monthly and annual narrative reports in accordance with management agreements, including financial data, data on variances to budget, arrears, vacant spaces, details of expenditure, contractor performance, details of defects within the building and remedial action taken

a~ Assist with annual reporting including business planning, market review, etc

a~ Control the collection of monies, including rentals where applicable, outgoings and other recoverable in conjunction with strict management contacts

a~ Control in-flow and out-flow of funds

a~ Prepare income and expenditure budgets

a~ Follow quality assurance procedures including cleaning, security, repairs, maintenance, painting, air-conditioning, fire protection, lifts and emergency procedures

a~ Implement programme of preventive procedures and cost review of contractor performance to ensure 'value for money'.

a~ Any other duties assigned.
