Job Description

Job Summary
Provide comprehensive administrative and logistical support to ensure smooth delivery of training programmes, seminars, conferences, and events while maintaining accurate records and meeting operational KPIs.
Responsibilities

  • Coordinate booking of training rooms and prepare training materials to support programme delivery
  • Publicize course information and manage participant registration to maximize attendance
  • Update the Training Administration System to maintain accurate course records
  • Set up and clear training venues to create a conducive learning environment
  • Compile course evaluations to assess programme effectiveness
  • Arrange travel and manage suppliers and vendors to support event logistics
  • Procure items related to programmes and events to meet operational needs
  • Process timely invoicing to customers and payments to trainers and suppliers to ensure financial accuracy
  • Monitor course take-ups, revenue, and expenses to support budget management
  • Maintain accurate and proper records including accrual of programme-related expenditures
  • Comply with college service standards and operational guidelines to uphold quality
  • Meet college and team KPIs through effective programme administration
  • Provide timely issuance of course placement letters, billing, and payment processing to participants, trainers, and vendors
  • Support associate trainers and resource persons to facilitate smooth programme delivery
  • Collaborate with Finance, AV, Admin, Estate, and Customer Service teams to enhance the learning environment
  • Manage the alumni database to maintain up-to-date participant information
  • Work closely with the Team Leader to provide course updates and escalate potential service issues to Management
  • Coordinate with the Institute Development Officer to ensure programme support aligns with Institute requirements
Required competencies and certifications
  • Proficient in Microsoft Office applications and virtual platforms such as Zoom, Google Meet, and MS Teams
  • Demonstrate excellent communication and written skills to interact effectively with stakeholders
  • Exhibit strong organizational skills and meticulous attention to detail in managing programme logistics
  • Apply good interpersonal and customer service skills to support participants and trainers
  • Utilize problem-solving and time management skills to meet deadlines and handle pressure
  • Maintain a positive attitude with integrity and a drive for excellence in work
Preferred competencies and qualifications
  • 2 years of relevant experience in programme or event administration
Other Information
  • Salary: $2650/month
  • Working Arrangement: Mon-Fri
  • Working Location: Buona Vista
  • Contract Period: 3 months to 4 months
