Manage all aspects of employment administration for seagoing personnel under supervision by Crewing Manager
Check correctness and completeness of documents as submitted by Manning agencies/crew
Assist in travel arrangement of the mobilization and de-mobilization of crew including Air Tickets booking/issuance, Visa application, hotel accommodation, etc.
Liaise and coordinate with manning agencies/travel agencies on crew flight bookings/issuance.
Ensure candidates are equipped with the relevant requirements (medical, competence certificate / qualification documents).
Monitor and track validity of seafarer certificates, medicals, and appraisals, keeping accurate records in internal systems/Unisea.
Coordinate and liaise closely with manning agencies, Master, port agencies and travel agencies for the smooth transition of crew.
Monitor visa validity and to liaise with agencies/crews to apply/renew as and when necessary
Apply for Flagstate endorsement/Flagstate seaman book for the officers/Ratings before they join the assigned vessels when required or to liaise with manning agencies to apply on behalf.
Create new records for crew and to update/upload if any renewed certs received to Unisea. To clear/update the list of expired certs in Unisea
Ensure all crew has all the essential training certificates, medical reports, visas, sea time records to meet matrix requirement working in close relation with the manning agencies/crew
Keep track, monitor and update crew's personnel and training records. To follow up with Vessel Admin/HSE/Crew to track & monitor the training progress. To follow up with manning agencies/crews/Vessel admin with regards to completion of training by crew
To gather and provide to our clients all crew documentation needed for projects and follow up with clients on those related matters.
To compile/upload/update crew matrix as and when required by Client/Charterer.
Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents for the department.
Monitor and track appraisal of all crew
Any other tasks assigned by Management/Crewing Manager
Job requirement:
Diploma holder, with relevant experience in shipping industry (3 years minimum)
A good team player with ability to multi-task
Good analytical skills, meticulous and organized
Proactive, take initiative and well organized
Good written and verbal communication
Possess positive work attitude, good interpersonal and communication skills
Proficient in MS word, excel
Being conversant with all seafarer training requirements ie STCW & MLC regulations
