JOB DESCRIPTION
Responsible for the upkeep of operation team training records system; Training materials, attendance and calendar.
Responsible for uploading critical Operation documents into Share folder and conduct regular backup.
Responsible for receiving daily incoming mail and outgoing mail/courier service for delivery and collection.
To support the Operational Team on the daily administrative scope of work.
To support Operation team for procurement process and raise of PR and PO.
Track work completion and status of work raise under PO till completion.
To support Operation team for finance and billing process.
Manage Service report database for finance and billing process.
To support the Facility Manager for Operational Team Overtime submission.
To liaise with HR on the monthly submission process.
To support and update the inventory management for the critical equipment, tools and spares. To support and manage contracts and monthly records of telco and utilities bills.
To support and apply visitor access in Visitor Management System
To support distribution of office and pantry supplies.
Manage and supervise support staff on site (cleaner and gardener); work scope, scheduling, attendance and materials.
Assist in setting conference room and booking of meeting facilities.
To support Ops team in internal meeting minutes taking and send of update to all attending meeting parties.
Any other tasks and duties as directed by the Facility Manager/Senior Ops Manager.
Other Duties:
To support in the Fire committee as a coordinator/First Aider.
JOB REQUIREMENTS
Diploma/ ITE of any disciplines. Preferably in the building management or engineering faculty.
Minimum 1 to 2 years related working experience.
Prior experience operating and maintaining mission in Data Centre Critical Facilities.
Prior experience in managing contractors (technical and soft services) and Technicians
A good team player that can work closely with all the different stake holders. Highly proficient in communication.
Cross culturally aware and adaptable.
Being assertive and confident.
Able to impact and influence.
Good customer/supplier relationship skills.
Good planning and organizing skills.
Proficient in Microsoft Outlook, Excel, Word and PowerPoint.
