Document Preparation and Distribution -- Prepare and print Handbook, forms and letters for distribution. Fold and insert the documents into envelopes as required, ensuring all documentation is ready for dispatch by batches.
Reception and Form Collection -- Receive completed forms, both walk-in and via the post. Provide basic assistance and guidance regarding update of contact particulars, ensuring all necessary information is captured.
Data Management and Processing -- Collate responses from the returned forms into designated spreadsheets /systems while maintaining accurate records.
Follow-up Communications -- Contact regarding incomplete or unclear form responses. Provide clarification and assistance to pensioners to ensure accurate information collection and timely resolution of queries.
Correspondence Management -- Verify accuracy of letters and supporting documentation. Record relevant details in tracking systems and coordinate mailing processes to ensure timely and accurate delivery.
Requirements:
Experience in managing external stakeholders (e.g. customers) will be an advantage.
Able to work in a fast-paced, multi-stakeholder and team setting.
Good communication and interpersonal skills.
Meticulous and resourceful.
