What You'll Do
You'll work directly with our client servicing and project management teams to deliver high-impact medical events. From conceptualizing events with the creative team to working with a team to ensure the successful execution
Key Responsibilities
Events execution
As an Event Executive, you will lead the strategic planning and execution of high-impact events from concept to completion. You will collaborate closely with clients, internal teams (creative, project management, and production), and external partners to deliver seamless, engaging, and on-brand experiences.
You will oversee all aspects of event delivery from ideation and budgeting to logistics and on-site execution
Project management
As a Project Coordinator, you will be responsible for leading and driving projects from initiation to completion. You will serve as the key point of contact between clients, internal teams, and external partners, ensuring that all project deliverables are completed on time, within scope, and on budget.
You will oversee planning, resourcing, and execution, while managing risks, timelines, and stakeholder expectations. The ideal candidate combines strong organisational and problem-solving skills with a collaborative mindset and a passion for delivering quality outcomes.
Roles and responsibilities
Event execution (70%)
Assist in the end-to-end planning and execution of events, including conferences, product launches, workshops, and corporate functions
Liaise with internal stakeholders, vendors, venues, and external partners to ensure timely delivery of all event components
Manage event logistics, including venue sourcing, catering, AV setup, registration, transportation, and guest management
Support creative brainstorming and contribute to the development of event concepts, themes, and experiences during client pitches
Prepare event documentation such as proposals, timelines, budgets, run sheets, and post-event reports
Oversee onsite event setup, coordination, and troubleshooting to ensure smooth execution
Ensure all activities adhere to brand guidelines and regulatory requirements
Innovation, stay up to date with event trends and technologies to continuously improve event experiences
Project management (30%)
Work closely with internal and external stakeholders to produce and refine project timelines, milestones and other relevant documents so as to deliver clients' project on time and at the highest quality service levels
Understand, process and coordinate change requests from clients in a clear and concise manner and allocating tasks to assigned team members to work on
Identify obstacles, proactive mitigate risks and escalate issues for efficient resolution
Assist in applying and enforcing existing company SOPs and best practices to ensure assigned projects are managed effectively and efficiently, while continuously reviewing and suggesting strategies to improve project management processes and workflows
Cultivate and disseminate knowledge of best practices with the team
Qualifications- What We're Looking For
Diploma from a reputable Polytechnic, diploma in Integrated Event Management, events, marketing, communications, project management or related.
Passion for events, media, or production
Strong organizational skills with attention to detail and the ability to manage multiple priorities
Excellent communication and interpersonal skills
Resourceful, solution-oriented, and thrives in a fast-paced, deadline-driven environment
Skills:
Clear, confident communicator (in person, on email, on WhatsApp)
