As an Events Coordinator, you will support the planning, coordination, and execution of both internal and external events while assisting in internal communications and team engagement initiatives. You'll work closely with the management team, core events team, and various departments to ensure smooth logistics, timely coordination, and memorable event experiences. This role is ideal for someone detail-oriented, proactive, and eager to grow in a fast-paced, creative environment.
Assist in the planning and execution of a wide range of events, including internal staff engagements (e.g., team celebrations, town halls) and external-facing events (e.g. speaking engagments, client appreciation events, and public brand activities
Collaborate with different departments such as Marketing, HR, and Sales to ensure event objectives align with broader company goals.
Help manage event calendars and coordinate timelines across departments.
2. Logistics & Venue Arrangement
Coordinate logistics such as venue booking, equipment setup, registration materials, transport arrangements, and food & beverage.
Liaise with vendors and suppliers to ensure timely delivery and smooth setup for all event components.
Troubleshoot and assist with on-site event needs during setup and execution.
3. Budget & Cost Support
Assist in preparing and tracking event budgets, including obtaining quotations, processing payments, and maintaining expense records.
Help ensure cost-effectiveness and compliance with budget constraints.
4. Pre-Event Preparation
Prepare essential documents such as run sheets, setup checklists, RSVP trackers, briefing decks, and equipment lists.
Assist in the preparation of printed materials, name tags, signage, slides, and presentation tools.
Ensure all logistics and event requirements are secured and ready before each event.
5. Post-Event Follow-Up
Support event teardown, vendor wrap-up, and return of rented items.
Assist in gathering post-event feedback from stakeholders and attendees.
Help prepare post-event evaluation reports and debrief summaries for internal review.
6. Internal Communications & Engagement Support
Assist with drafting and distributing internal communications such as event invites, reminders, newsletters, and announcements.
Support company culture initiatives, including employee engagement activities and trainings.
7. Cross-Functional Coordination
Act as a liaison between departments and external partners for all event-related needs.
Support the management and core events team in aligning event plans with brand direction and business strategies.
Ensure smooth communication and collaboration across internal stakeholders.
8. Documentation & Administrative Support
Maintain organized records for each event, including budgets, checklists, vendor agreements, feedback forms, and photos.
Provide administrative support throughout the event planning and execution process.

Possess a
diploma or degree
in Events Management, Marketing, Mass Communication, Public Relations, or a related field.
Prior experience in assisting with events, logistics, or internal communications would be an advantage.
Excellent organizational and time-management skills with attention to detail.
Strong communication skills, both written and verbal.
