Position Overview:

As an Events Executive, you will be responsible for assisting in the planning, coordination, and execution of various events for our organization. You will work closely with the Events Manager and collaborate with cross-functional teams to ensure successful events that meet the organization\'s objectives. This role requires strong organizational, communication, and problem-solving skills, as well as the ability to work under pressure and manage multiple tasks simultaneously.

Key Responsibilities: * Event Planning: Collaborate with the Events Manager to conceptualize and plan events, considering the target audience, objectives, budget, and logistics. Assist in developing event proposals, timelines, and budgets.

  • Logistics Management: Coordinate and oversee the logistical aspects of events, including venue selection, catering, transportation, accommodation, audiovisual requirements, and other related services. Ensure all arrangements are made in a timely and cost-effective manner.
  • Vendor Management: Liaise with event vendors, suppliers, and contractors to negotiate contracts, obtain quotes, and manage relationships. Ensure vendors deliver services as per agreed terms and maintain a high standard of quality.
  • Event Coordination: Assist in the overall coordination and execution of events, including setting up event spaces, managing registration, overseeing event schedules, and coordinating with on-site staff and volunteers. Ensure events run smoothly and efficiently.
  • Marketing and Promotion: Collaborate with the Marketing team to develop event marketing strategies and materials, including invitations, promotional materials, social media campaigns, and website content. Assist in tracking and analyzing event response and feedback.
  • Budget Management: Help manage event budgets, including tracking expenses, processing invoices, and ensuring adherence to budgetary constraints. Provide regular updates to the Events Manager and finance team.
  • Post-Event Evaluation: Conduct post-event evaluations to assess the success of events, identify areas for improvement, and generate reports. Gather feedback from attendees and stakeholders and incorporate it into future event planning.
  • Administrative Support: Provide general administrative support for the events department, including maintaining event databases, handling correspondence, and maintaining inventory of event supplies.
Qualifications and Skills:
  • Bachelor\'s degree in Event Management, Hospitality, Marketing, or a related field is preferred.
  • Proven experience (2-3 years) in event planning and execution.
  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills to collaborate effectively with team members, vendors, and stakeholders.
  • Proficient in using event management software, project management tools, and Microsoft Office Suite.
  • Attention to detail and ability to work under pressure in a fast-paced environment.
  • Creative thinking and problem-solving abilities to address challenges and ensure successful event outcomes.
  • Flexibility to work evenings, weekends, and travel as required for event coordination.
