What the role is:As a Executive / Senior Executive for the Vessel Traffic Management Department (VTM), you will be an integral part of the Vessel Traffic Management Department, providing crucial support to the Port Operations Control Centre (POCC).Description:Your primary responsibilities will include:Coordinating with HQ on budgeting planning matters for the departmentOrganizing events for the department, such as annual gathering and cohesion eventsMonitor the department\'s leasing and contractual agreements. This will involve coordinating with stakeholder departments like Legal, Procurement and Space Management teams on contract renewal agreement with tenants.Putting up procurement incur/award papers for various VTM projects, which includes works for drafting/editing tender specs, evaluation and liaising with MPA\'s procurement team and vendors.Liaising with MPA stakeholder departments on visits and meetings conducted at the POCCProvide logistical support and prepare POCC for exercises or emergency ops meetings.Conduct routine checks to ensure that AV systems (including projectors, videowall etc) is in good working condition.Coordinate and facilitate maintenance works for vendors and building owner, while ensuring minimal disruption to operations in POCC VistaMaintain and upkeep security access for POCC Vista and staff biometric data, i.e. updating of database with new MPA staff in the system.To verify and ensure invoices on rental, services and purchases for VTM are in order for payment process by Finance DepartmentCovering/ stand-in for roster planneYou will be responsible for budget planning, vendor management and coordinating events for VTM department while ensuring that POCC operational needs are met. Additionally, you will provide administrative and logistic support during staff engagement activities, meetings, exercises, and marine emergencies for the department.Requirements:The ideal candidate should possess the following qualifications and skills:3-5 years of related experience, with at least 2 years in a similar office administrative and event planning functionExperience in budgeting and procurement processes in the Public Sector and/or projects involving process improvements/implementation of IT systems as users will be an added advantage.Meticulous, proactive, and able to work independently.Strong interpersonal and communication skillsGood writing and critical thinking skillsAbility to prioritize tasks and work around tight timelines in a fast-paced environment.Proficiency in Microsoft Office Software such as Word, Excel, and PowerPointGood time management skills and ability to work well under pressure in a fast-paced environment.Willingness to attend to occasional operational exigencies after office hoursAbout Maritime and Port Authority of Singapore:"The Maritime and Port Authority of Singapore (MPA) was established on 2 February 1996, with the mission to develop Singapore as a premier global hub port and international maritime centre (IMC), and to advance and safeguard Singapore\'s strategic maritime interests.
