Due to the growth of the business, we are seeking for an Executive Administrator to provide high quality and proactive end-to-end administrative and operational support to our fast-paced and dynamic Southeast Asia team based in Singapore. Reporting to the General Manager SEA, the Executive Administrator will be responsible for but not limited to:

Main Responsibilities:
General administration:

  • Manage travel booking including hotel and transportation arrangement, and business travel visa application when required
  • Update SEA LT Travel Calendar
  • Support the on-boarding process for new members
  • As the go-to business operations support representative for the team, liaise and provide flexible support to work within and across business functions
  • Vendor list creation
  • Liaise with vendors on services / materials printing / Name card printing
  • Uploading of contracts and support in seeking necessary signatories for contract approvals

Meetings & events coordination (internal and external):
  • Logistics support eg hotel and meeting room booking for regional meetings that are held in Singapore / SEA countries;
  • Coordinate cross-functional/company-wide events and meetings
  • Support logistics of Social Club events

Sales & Marketing Co-ordination:
Provide support to marketing teams as required

Experience & Qualifications:

  • 7+ years prior office administration / management experience, preferably in fast-growing mid-sized organizations.

Computing Skills & Technology:
  • Proficient in MS Office (Words, Excel, PowerPoint, Outlook)
  • Proficient in Collaboration tools such as Teams, One Drive, SharePoint and Zoom.
  • Working knowledge of Concur, SAP Purchase Orders, Workday, DocuSign.
  • A quick learner to new technology and app
  • Adobe Illustrator, Photoshop, In Design, Premiere Pro skills an advantage
