Job Description




We currently have an exciting opportunity for an Executive Assistant to support a Senior Advisor and team members within the Critical Minerals & Energy team within our Macquarie Capital Group, based in Singapore. This is a 12-month fixed term contract role with the possibility of further extension or conversion to a full-time permanent role subject to performance and headcount availability at the time. Working in a fast-paced and close-knit team environment your role will involve extensive diary management including arranging both internal and external meetings, face to face and virtual. There will be extensive (up to weekly) international travel and accommodation, visas, meeting rooms and restaurant coordination. Your role will require regular interaction with other assistants (both internal and external companies and clients) including coordination conference calls with international offices and managing different time zones. In addition, you will oversee multiple video calls per week which includes managing the waiting room, agenda, participants, and presentations when required. Extensive inbox management is needed including filing of emails and arranging paperwork and board level documents for meetings. You will be involved in arranging domestic/ international travel and client entertainment, event planning for both internal and external functions as well as compilation of out-of-pocket expenses and completion of expense claims. You will be required to answer all calls professionally and in a timely manner, raise purchase orders, handle invoices and assist with the approval of invoices, and enter contacts, client meetings and meeting notes into Salesforce and LinkedIn. You will also support executives in their compliance with Macquarie internal policies and requirements. You will have a proven track record in providing Executive Assistant support within the Professional Services industry (Finance, Consulting or Legal) supporting C-Suite level Executives. You will be able to demonstrate a proactive approach with the ability to fully understand the nature of the business and priorities within the team. You will have a high degree of discretion, confidentiality, professionalism, and exceptional attention to detail. You will be a clear communicator, confident in liaising with Executives across all levels of the business hierarchy, both internally and externally. Strong organisational, planning and multi-tasking abilities will also underpin your success, ensuring you are able to effectively manage conflicting priorities. You will be a strong collaborator with the Global EA team, resourceful and able to work independently. You will thrive in a dynamic business where accuracy, hard work and flexibility are imperative.
