DESCRIPTION

AWS People Experience and Technology (PXT) is seeking a self-driven, highly organized, and proactive Executive Assistant to support three HR Directors across India and Singapore. In this role you will be joining a diverse and supportive EA community providing you a unique opportunity to develop your administrative skills and experience and to help other EAs do the same. This is a fun and rewarding opportunity in an international organization.

This role requires superior attention to details, great organization and project management skills, and the ability to work independently on assignments with sound judgment. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals are essential. A proven track-record in working across multiple time-zones at scale is a necessary trait.

The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance. It will be necessary to react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having the full picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.

Key job responsibilities
Key responsibilities include but are not limited to:
\xc2\xb7 Management of calendar and scheduling requirements for multiple executives
\xc2\xb7 Management of team space, including new hire allocation, team moves and reconfigurations;
\xc2\xb7 Coordination and planning of domestic and international travel
\xc2\xb7 Completing expense reports, purchase orders, and managing corporate card purchases; participation in budget planning and tracking as needed
\xc2\xb7 Tracking and helping to drive completion of key deliverables, following up on outstanding items
\xc2\xb7 Acting as a liaison for direct reports of the executives
\xc2\xb7 Planning and coordinating team activities and events
\xc2\xb7 Managing other core administrative activities (new-hire onboarding, organizational charts, supply ordering)

BASIC QUALIFICATIONS

- Experience with Microsoft Office products and applications
- Ability to maintain a high level of confidentiality and professionalism
- Positive, proactive and able to exercise great judgment
- Exceptional written, verbal, and interpersonal communication skills
- Detailed planning, time management and organisational skills

PREFERRED QUALIFICATIONS

- Experience leading process improvements
- Experience in a fast-paced, high-tech company
- Experience designing processes to maximize efficiency
