They are seeking a dedicated Executive Assistant to provide administrative and organizational support for Portfolio Managers and the team. The ideal candidate will be a self-starter who thrives in a fast-paced, dynamic environment and is capable of managing multiple projects with minimal supervision.Responsibilities\xc2\xb7 Coordinate a high volume of internal and external meetings.\xc2\xb7 Build and maintain relationships with broker sales teams to effectively plan meetings.\xc2\xb7 Manage calendar planning, ensuring teams are prepared for meetings and travel accommodations are arranged.\xc2\xb7 Provide corporate access support for your team.\xc2\xb7 Collect and organize research reports, financial models, and company quarterly and annual reports.\xc2\xb7 Handle extensive travel arrangements, including flights, hotels, and ground transportation for portfolio managers and the team.\xc2\xb7 Process expense reports for portfolio managers and the team.\xc2\xb7 Liaise with key operational areas to organize new hire training and oversee onboarding processes.\xc2\xb7 Undertake special projects for teams or management, utilizing various applications (e.g., FactSet, Bloomberg).\xc2\xb7 Participate in weekly business meetings with the teams.Requirements\xc2\xb7 Bachelor\'s degree preferred; minimum 3-6 years of administrative assistant experience, ideally in financial services (hedge funds or sell-side banks).\xc2\xb7 Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and related software.\xc2\xb7 Excellen written and verbal communication skills, with strong interpersonal abilities.\xc2\xb7 Strong time management skills, capable of balancing multiple tasks and competing priorities effectively.\xc2\xb7 Exceptionally organized, detail-oriented, and able to operate with a sense of urgency.\xc2\xb7 A sense of ownership and pride in one\'s work, with a passion for the role\'s core responsibilities.\xc2\xb7 Proactive in following up on details, anticipating issues, and closing the loop on requests.\xc2\xb7 Ability to exercise discretion when managing confidential information and working across teams.\xc2\xb7 Team-oriented with the ability to work independently with minimal guidance.\xc2\xb7 Adept at problem-solving, flexible in adapting to changing circumstances, and able to support other administrative staff.\xc2\xb7 Singapore Citizen or PR is a must.For further details, please contact Maria Miles-Vinall or send across your details toJob Code: MMV/49962Personal data collected will be used for recruitment purposes onlyBy applying for this position, you consent to the collection, use and disclosure of your personal data to Charlotte Frank Recruitment Ltd. and all relevant third parties for the purpose of processing your application for this job position.
