The Executive Assistant supports the day-to-day operations of a wealth management practice, assisting with client servicing, administrative duties, and business operations. The role spans document handling, communication with institutional partners, office coordination, and involvement in ongoing business development initiatives. Depending on business needs, the role may occasionally include support for team events, workshops, and leisure-based work trips. If you are a good

KEY RESPONSIBILITIES



Client & Documentation Support



Prepare, review, and submit forms related to financial planning, insurance, investment, and estate planning matters. Assist with accurate completion of client documentation and ensure compliance with regulatory requirements. Follow up with clients and institutional partners (e.g., insurers, investment platforms) on outstanding documents, approvals, and accounting matters.

Administrative & Office Operations



Manage and maintain digital and physical filing systems, including invoices, receipts, client records, and administrative documents. Provide general office support such as equipment upkeep, stock/supplies management, and minor improvements to the workspace.

Marketing & Online Presence



Assist with light marketing duties, including updating websites, testimonials, media content, and other online assets. Coordinate basic marketing materials or feedback collection when required.

Business Projects & Coordination



Support ongoing and ad-hoc business initiatives, including: Corporate account setup Event coordination Office and space planning Project follow-ups

External Outreach



Conduct outreach to corporate partners, community organisations, or potential collaborators for marketing or business development purposes. Represent the practice professionally during external engagements.

Personal Administrative Support



Assist the Principal with personal administrative tasks that contribute to overall time management and operational efficiency. Tasks may include handling refunds or exchanges, managing deliveries/returns, arranging personal bookings or logistics, and coordinating simple personal errands when required.

Other Duties



The scope of work may evolve based on business needs. The Executive Assistant may be assigned additional tasks from time to time to support operational, administrative, or client-related functions.

Pay: Up to $2,700.00 per month
