We are currently seeking a high calibre professional to join our team as an Executive Assistant.

Principal Responsibilities

As the executive assistant, you will support the Chief Customer & Digital Officer and Chief Product Officer in daily secretarial and administrative tasks to ensure the executives can be most effective in use of their time.

  • Ensure all internal and external meeting, calls and appointments requirements are met, scheduled accurately and smoothly
  • Maintain & provide visibility to the executives of department organization chart, executive direct reports leave plans / approval, key meetings / events schedules at Exco and board level
  • Provide support to the executives for necessary office administrative work, including but not limited to onboarding / offboarding, resolving laptop / BYOD connectivity, system access etc.
  • Be the point of contact person for any last-minute schedule / appointment changes and take initiatives to coordinate & resolve problems / conflicts to ensure meetings / calls / appointment happen as per desired outcome with best judgement
  • Forward planning of travel arrangements which includes schedules, itineraries, flight and hotel booking, visa application, overseas compliance clearance, cross selling forms, preparation of meeting materials or presentation, process all travel requirements to ensure all trips managed accurately. Able to manage within tight deadline
  • Provide support to the executives in system access, submission and ensure appropriate approvals are in place for business events or entertainment, register business events and entertainment with compliance within deadlines
  • Screen incoming calls, fielding calls if appropriate and assisting where possible
  • Prioritize work urgency and practice well-planned time management in fulfilling work functions and to ensure all tasks are of a consistently high standard
  • Organize work by reading and routing correspondence, collecting information, initiating telecommunications / video conferences
  • Assist in departmental internal communication, workshops, events organized or initiated by the executives if necessary
Requirements

Requirements
  • Diploma or degree in a relevant field
  • Considerable experience as a secretary / administrator in financial services space and dealing with senior level individuals
  • Good sense of business with willingness to understand business priorities to be able to prioritize the executives schedule & resolve conflicts with minimal supervision
  • Team player with self-motivation and a positive attitude
  • Matured executive assistant to be able to handle senior stakeholders and provide support when necessary
  • Ability to plan daily work with initiative, meet deadlines and prioritize tasks accordingly
  • Good verbal and written communication skills
  • Good knowledge of the standard Microsoft Word Office software applications, Microsoft Outlook and preferably technology savvy
