Manage President\'s calendar, including liaising with relevant units on scheduling of annual university events, regular meetings such as Board of Trustees meeting etc. and update meetings with direct reports.
Point of contact for President\'s external appointments; including submission of President\'s Disclosure of Interests, where applicable.
Prepare meeting files for all meetings, internal and external.
Coordinate with relevant units to prepare President\'s travel programme and travel folder.
Plan President\'s annual leave and submit leave application.
Updating President\'s cv, external appointments, speaking engagements and travel schedule (in President\'s shared folder).
Coordinate driver\'s daily schedule to support President.
Act as backup cover, on a needs basis, for the Assistant Director and the Office Manager.
Other administrative duties as may be assigned from time to time.
Qualifications:
A university degree or equivalent but in the absence of a degree, a diploma and/or a professional executive secretary qualification, coupled with at least 15 years of relevant work experience in a similar capacity, would be required.
Candidates with experience in working with C-level executives would have an advantage.
Used to a fast-pace and can handle high volume of work.
Strong commitment to excellence - perform duties at the highest level possible on a consistent basis.
Excellent communicator - able to interact with people of all levels in a confident and professional manner.
Demonstrate ability and temperament to work with sensitive information and maintain confidentiality at all times.
Ability to prioritize and make sound judgment calls when needed.
