Position Overview



The Executive Assistant (EA) provides comprehensive administrative and operational support to the CEO, ensuring smooth coordination across FoodInc Group's business units -- Saint Pierre, Shoukouwa, and Mycelium Catering. This role requires a proactive and highly organized professional who can manage complex schedules, handle confidential matters with discretion, and serve as a key point of contact for internal and external stakeholders.





Key Responsibilities





Executive Support



Manage the CEO's daily and weekly schedules, including appointments, meetings, conference calls, and travel arrangements. Prioritize and coordinate commitments, ensuring efficient use of the CEO's time. Prepare meeting materials, attend meetings, and record accurate minutes and follow-up actions. Handle correspondence and communications on behalf of the CEO with professionalism and confidentiality.

Administrative Management



Oversee general administrative duties such as expense claims, filing, documentation, and record management. Maintain confidentiality and safeguard sensitive business and personal information at all times. Ensure alignment and compliance with company policies and procedures.

Coordination & Communication



Act as the primary liaison between the CEO and teams across Saint Pierre, Shoukouwa, and Mycelium Catering. Coordinate activities with other departments (e.g. HR, Finance, IT) and external partners to support business operations. Communicate effectively on behalf of the CEO, applying sound judgment to determine the most appropriate mode and tone of communication.

Projects & Research



Support the CEO in handling special or ad-hoc projects, including follow-ups with teams on key initiatives. Conduct research, compile information, and prepare reports, presentations, and briefing materials as required. Assist in operational and facility management matters in coordination with relevant departments.

Key Qualifications



Bachelor's Degree in Business Administration or a related discipline. Minimum of 3 - 4 years of experience supporting senior management preferably within hospitality, F&B, or related industries. Strong organizational, time management, and multitasking skills with keen attention to detail. Self-starter with strong problem-solving abilities and the ability to anticipate needs. Exceptional communication and interpersonal skills to interact effectively with stakeholders at all levels. * Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital productivity tools.
