Job Description


Summary

As the executive assistant, you will provide administrative and secretarial support to the CEO
and senior direct reports including the CEO, CCO and MD, Asia, as well as ensure the smooth functioning
of the executive team and the overall office administration.

Scope:

  • Assist in the travel arrangement and hotel reservation.
  • Update of agents contact in the company website and managing of email from website enquiry.
  • Assist in the update of customer organisation chart.
  • Assist in the sourcing, ordering and distribution of corporate and festive items and event coordination.
  • Responsible for the general day-to-day office administration of the company and serve as the point person.
  • Supporting front desk duties (when receptionist is on leave), such as answer and direct phone calls, receive and sort incoming mail and delivers, office document couriers, etc.
  • Maintain good relationships and manage contract and price negotiations with office vendors, service
  • providers, and office lease.
  • Manage day-to-day office operations, including office stationery, pantry, equipment, facilities.
  • Maintain and improve administrative processes efficiently.
  • Responsible for raising payment for utilities, office rental, cleaning services and other many ad hoc
  • invoices, ensuring prompt payments.
  • Coordination of aircon servicing, water dispenser servicing, coffee machine, handyman (change of light bulbs / repair items)
  • Perform any other ad-hoc duties as assigned.
Requirements:
  • At least 2 year of work experience supporting C-level Executives or Senior Director.
  • Excellent organizational and time management skills, with the ability to multi-task and prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with a high level of confidentiality and discretion.
  • Exceptional attention to detail and accuracy in all tasks.
  • Ability to work independently with minimal supervision.
  • A proactive and positive attitude with the ability to adapt to changing priorities and deadlines
